Job summary
Blackpool Victoria Hospital's Car Parking Office are looking to recruit a Car Parking Administrator
The post holder will provide a full secretarial ,administrative and reception service in the car parking and security office.
The successful applicant will work a 37.5 hour, Monday - Friday, hours to be agreed. Applicants will also be required to work additional hours as required to cover for holidays and sickness absence which may include weekend cover.
Candidates must demonstrate a willingness to be flexible and work as part of a team. The postholder will be working at a senior level providing support to the car parking officers and main entrance receptionist where required therefore good assertion skills, excellent customer care skills, and effective written and verbal communication skills are essential. Excellent IT skills are an essential requirement to maintain, manipulate and provide reports from the car park management systems in place. The successful applicant should have experience of working with the general public and dealing with emotive situations.

Main duties of the job
The car parking receptionist will ensure a professional reception service is maintained and a comprehensive range of administrative duties is provided in the car parking office.They will deputise for the car parking supervisor when not on shift or for periods of annual leave / sickness absence ensuring that cover is maintained for the car parking officer role and providing support to the aforementioned and the main entrance receptionist who will carry out administrative tasks for the car parking office. The postholder will have the freedom to act on their own initiative to rectify concerns raised by patients, visitors and staff.

DUTIES AND RESPONSIBILITIES
.
- Plan and organise own workload without the requirement of direct supervision. Freedom to act on own initiative where appropriate and take responsibility for these actions
- Manage rotas when required.
- Responsible for inputting information for pay, leave etc. onto the health roster
- To provide cover and supervision on the main entrance reception.
- To deal sensitively and effectively with telephone calls and take appropriate action to resolve issues.
- Ensure policies and procedures for car parking are adhered to at all times, proposing changes and service improvements where required.
- A good working knowledge of Outlook and its systems i.e. excel/word/access.
- A good working knowledge of specialized systems relating to the Trusts car park management and external barrier and automatic number plate system.
- To undertake general administrative duties as required
- Maintain an efficient and accurate administration system delegating as appropriate to admin colleagues and support staff.
- Word processing of letters reports and minutes, attendance where required ensuring confidentiality is maintained at all times.
- Adhere to all Trust policies and procedures in relation to Confidentiality and Data Protection for sensitive information, in particular patient data.
- Work as an effective member of the team using initiative/make suggestions to develop the service in car parking and the main entrance.
