An exciting opportunity has arisen for experienced Medical Secretary to join and support the Diabetes an Endocrinology Service within Community Medicine & Ambulatory Therapies Directorate.

The post holder will be responsible for all secretarial and administrative duties for outpatient Community Medicine specialties. Following all relevant operational policies, procedures and work practices, to ensure the timely processing of all patient related information, including clinic letters, reports, referrals, appointments etc.
The ideal candidate will be able to provide a comprehensive and efficient secretarial service to the team and ensure records are kept up to date and accurate. The post requires excellent organisational skills, medical audio typing, dashboard validation, and a sound knowledge of medical terminology.
You will be able to demonstrate good communication and organisational skills, along with a flexible approach to duties. You will hold relevant secretarial or audio typing qualifications to ensure you are successful to the interview stage.
Knowledge and experience within the health sector would be beneficial.
Main duties of the job
Provide a comprehensive secretarial and administrative support service to clinicians and their associated staff, following all relevant operational policies, procedures and work practices, to ensure the timely processing of all patient related information, including clinic letters, reports, referrals, appointments etc.
Monitor the patient pathways for all patients in the services make every effort to ensure all patients are offered an appointment within a timely manner, whilst adhering to organisational targets relating to waiting lists, patient referrals, etc.
Taking and typing minutes of meetings and typing of complex documents, discharges, clinic letters, reports, etc for clinicians using appropriate technologies.
Deal with queries from service users including patients and their representatives, whilst demonstrating understanding, empathy and discretion.
Deal with complex incoming post bringing information to the attention of clinicians and processing as directed.
Organising the processing of investigation results of key importance or abnormality in accordance with clinicians instructions.
Organise and oversee the referral of patients to other departments/hospitals for further treatment/investigations/appointments in accordance with clinicians instructions.
Assist in the promotion of a healthy, safe and secure working environment for the work team.
Any other ad-hoc duties as and when required in line with operational and service needs.
