Join Our Team as an Administrator
Are you a natural organiser who loves helping a team stay on track? We're looking for a versatile Band 3 Administrator to join us. You'll be the friendly face (and voice) of our service, interacting with everyone from service users to external partners.
- You will be a flexible resource to support teams in the provision of services, to include organisation of work for yourself and other team members, and may have front-line contact with service users, carers, the general public or other external stakeholders, as well as internal colleagues.
- Administrators will support one or more teams.
- The focus of the post will be on typing and preparation of correspondence and customer service, organisation, e.g., diary management and organising and efficient working of systems and supporting business and performance management.
- Providing day-to-day supervision, and delegating tasks to the Administrative Assistant, where these form part of the team.
Main duties of the job
- Meet and greet welcoming visitors and service users in a courteous/prompt manner and check contact details are up to date
- Liaises with internal and external stakeholders on behalf of line manager, colleague or team members including GP's for missing information.
- To scrutinise email in-box, determine urgency and importance and highlight where necessary to manager.
- May take requests for repeat prescriptions and organise for these to be issued and signed by the appropriate clinician for collection by service user or carer and to ensure that there is a supply of prescription pads.
- Manage clinic setup according to requirements and staffing levels.
- Operation of general office equipment including photocopier and carry out routine problem finding and liaise with IT Helpdesk to report problems promptly.
- Ordering of stationery and supplies and managing stores.
