Job summary
An exciting opportunity has arisen for a part time Assistant Administrator to join West Kent Neuropsychiatry team in Sevenoaks.
The post is integral to the team and you will be required to provide comprehensive administrative support to members of the team, including Consultant Neuropsychiatrist, Psychiatry, Psychology, Nursing professionals and admin colleagues
Main duties of the job
This varied role will include:
- Having contact with patients, carers, relatives and other external stakeholders
- Typing letters and reports as required
- Using the patient record system RiO (training provided)
- Processing referrals and uploading documentation to RiO (training provided)
- Taking telephone calls and messages for clinicians
- Booking and supporting clinic appointments
- Sending out correspondence to patients, referrers and GPs
- Supporting Business Administration Co-ordinator with small projects
- Ordering of stationery and other items as required via SBS (training provided).
- Meeting and greeting patients ensuring that they are made welcome and shown where to sit in the waiting area
- Assisting with keeping CQC folders and Health and Safety folders
It is important that the successful applicant exhibits empathy and compassion, has a good sunny personality, has a professional and flexible attitude, likes being part of a team, has good communication and interpersonal skills, is able to prioritise workloads and can work to agreed timescales. It is also important that the applicant can remain calm in crisis situations.
Ideally educated to GCSE standard, with A to C in Maths and English (or equivalent) you will also have knowledge of MS Office applications i.e. Word, Outlook, Excel and PowerPoint. Previous administrative/reception experience is essential, together with excellent typing skills and telephone manner.
