Job summary

Working with a complex trust environment the Voluntary Services Coordinator is responsible for ensuring that they are able to develop, implement and manage volunteering services within North Kent.

To recruit, select, place, train and support volunteers in close collaboration with staff and other organisations in North Kent in order to enable volunteers to contribute towards the quality of life of clients and co-ordinate the services that volunteers provide. Ensuring they are professional, informative and advising in a holistic manner in the support and advice provided.

They are accountable to develop, implement and manage the volunteering services and activities within the North Kent Area Kent to ensure best practice in volunteering, in line with the Trust Polices

They will lead the development of best practice initiatives in line with operational service needs and aspirations and design and align operational procedures to support their effective delivery.

They will actively promote and raise the profile and value of volunteering in partnership with their team across the trust and wider local health economy.

Main duties of the job

  • RESPONSIBILITY:

    • Effectively manages a team of volunteers to support the delivery of the voluntary services ambitions and KPIs
    • Ensure that a "Duty of Candour" is maintained with services users/carers at all time supporting their effective engagement with Voluntary Services as both volunteers and recipients of voluntary activity.
    • To assure that Voluntary Services are delivered safely and in accordance with the requirements of the Health and Social Care Act, including monitoring the quality and safety at each site of responsibility, identifying breaches, escalating them and acting on them as soon as possible.
    • Responsible for performance measured against Key Performance Indicators, ensuring that targets are met and quality is measured within voluntary services.
    • Implementation and development of relevant policies and procedures

Responsibility for Volunteers

  • Engage with people who wish to become Volunteers, including people who are in the Service or have used the Service at KMPT
  • Engage these people via telephone, email and referrals personal contact and from outside organizations/agencies.
  • Interview individuals for suitability making judgments involving a wide range of facts.
  • Completion of a system of forms to avail placement of Volunteers i.e. help with getting ID docs for DBS to send to our administrator
  • Provide an induction and training programme appropriate to the volunteer role and the needs of individual volunteers
  • Maintaining support and supervision of individuals whilst in placement.
  • Communicate and liaise with other Trust staff, external agencies and Community sites in placing Volunteers.
  • Encourage and support personal development and training opportunities and Volunteers.
  • Responsible for Volunteers that help maintain the daily service to patients, their visitors, staff and general public.
  • The post holder will provide supervision and direction to the volunteers Providing leadership, promoting initiative, creativity and motivation and ensuring a volunteers personal development and training needs are addressed.
  • Adopt safer recruitment principles and ensure robust selection processes which provide equality of opportunity and enhance quality of selection decisions.
  • Participate in regular supervisions with the volunteer and develop and have a development plan that includes competencies relating to the Trust strategy.

Volunteers Management: In conjunction with KMPT managers, recruit and interview all potential volunteers:

  • Develop and deliver appropriate Induction package for all volunteers ensuring they are continually adapted for changing responses in service requirements
  • To assess the volunteer skills, qualifications and/or training in order to achieve effective services for the benefit of patients and staff
  • Develop and maintain role profiles for all volunteers recruited to the trust be able to provide a report that can feed in to the annual review so that the service can provide regular feedback to services and TWPCEG
  • Maintaining personnel records; the control, placement and movement of volunteers; the discipline or termination of volunteers when necessary; arranging training, and providing ongoing support and counsel for volunteers
  • Provide leadership and motivation for volunteers to ensure they reach their highest potential and satisfaction
  • Provide non-clinical support to service users pursuing voluntary work

Service Improvement and Development

  • Be part of a team to develop and maintain appropriate policies and standard operating procedures to work within the parameters of the Trust, incorporating legislation relating to volunteers and changing work practices
  • To develop and implement monitoring and evaluation procedures to demonstrate the levels of effectiveness and impact of volunteer involvement
  • To proactively identify developments within the Trust where services could be provided by the voluntary services.
  • Review existing schemes involving volunteers and implement new ones, with the assistance and agreement of related staff, for the benefit of patients
  • To be part of a team that can analyse new developments in the NHS and Government initiatives relating to volunteering issues
  • To liaise with our Voluntary Services Administrator throughout the volunteers recruitment process and helping them with expenses for volunteering
