We are seeking a well-organised and detail-oriented Learning and Development Coordinator to provide essential clerical and administrative support. This role involves managing course bookings, maintaining accurate records, assisting staff with training queries, and contributing to the smooth day-to-day running of the Learning and Development Centre. The ideal candidate will have strong administrative skills, the ability to prioritise tasks effectively, and a customer-focused approach. Main duties of the job

As a Learning and Development Coordinator, you will be responsible for maintaining accurate training records, processing course bookings, and supporting internal training programmes. You will liaise with staff and training providers, handle queries related to study leave and e-learning and assist in producing training materials.

Additionally, you will help ensure the smooth operation of the Learning and Development Centre by managing reception duties, maintaining training rooms, and supporting presenters with audio-visual equipment.

To succeed in this role, you will need:

Strong administrative and organisational skills with attention to detail.

The ability to prioritise tasks and manage multiple deadlines.

Excellent communication and customer service skills to support staff and external partners.

Confidence in using computer systems and databases for data entry and reporting.

A proactive and adaptable approach to problem-solving and teamwork.

Job responsibilities

The post holder will undertake clerical and administrative duties for Learning and Development, operating and prioritising tasks on the computerised course booking systems, contributing to the day to day running of the centre and working with other staff to provide an effective and courteous service to all customers.

To undertake as required, accurate and timely inputting of relevant data from study leave forms onto the computerised booking systems (Electronic Staff Record ESR / Oracle Learning Management system). To undertake other relevant data inputting to department information systems as required.

To have a good knowledge of courses provided or supported by the Learning & Development function on behalf of the five localities within the Trust in order to provide accurate information and advice in response to queries from staff, managers and partner organisations. To signpost staff to the Trusts internal training portfolio as required.

To produce and disseminate promotional material as required for programmes provided or supported by the L&D function.

To provide administrative support for producing and maintaining the Trusts internal training portfolio under the direction of department senior managers.

To take and process internal course bookings as required and inform the relevant trainer and Administration Team Leader if numbers are low to enable suitable and timely action to be taken.

To book applicants onto external courses and events as required, advising applicants of the correct procedure(s) and bringing payment issues to the attention of the Administration Team Leader.

To ensure course places or changes are confirmed to relevant person(s) using identified department procedures.

To liaise with internal/external training providers as directed by Administration Team Leader.

To maintain accurate filing systems as required for study forms and all associated documentation in connection with study leave applications and course bookings.

To extract data and produce standard reports from ESR as directed or requested from the Administration Team Leader/department managers.

To deal with basic e-learning user queries and provide basic support e.g. with passwords resets and other simple requests for help. To escalate more complex queries to the E-learning Co-ordinator/Training and Development Officer (E-learning).
