Job summary

An exciting opportunity has arisen for a Facilities Support Assistant to join our friendly team.You will take on the rewarding role of supporting the Facilities Department based predominantly at Kendray Hospital, Barnsley but will be expected to work trust wide. Therefore a full clean driving licence is essential. .

Working closely with the Head of Facilities and Facilities Manager you will be responsible for maintaining and developing the information systems that support the service.

You will provide supervision, support, training and development for administrative staff.

You will produce reports, records and electronic documentation, you will manage diaries and take minutes.

The ideal candidate will be able to plan in advance and be well organised. You must be flexible, reliable and hardworking with enhanced communication skills at all levels.

Main duties of the job

You will have wide-ranging knowledge and skills in administrative policies, procedures and practices are required.

You will provide robust business support to the Facilities Department. Co-ordinate the administrative function within the Facilities Department to deliver an efficient and effective service that supports service management.

You will have responsibility for the admin team as well as developing and maintaining information systems. Provide training and ongoing support and development to team members you oversee. Manage staff and resources effectively, employing high quality staff management and leadership principles for staff development, professional standards, communication and appraisals.

  • In depth knowledge of Microsoft Packages.
  • Experience working in mental health services.
  • Experience of producing reports and making recommendations.
  • Experience of developing and implementing change to improve service performance.
  • Experience of implementing change to administrative practice.
  • Extensive knowledge of the Data Protection Act and confidentiality.

Desirable

  • Audit experience.
  • Knowledge and Experience of Human Resource Policy/Procedures.

Training

Essential

  • Participation in continuing professional development to improve and update knowledge.

Physical Attributes

Essential

  • Ability to undertake the duties and demands of the post. A satisfactory sickness record over the previous 2 years (subject to the need to act with fairness and equality of opportunity, particularly where the sickness is related to a disability and/or pregnancy).

Qualifications

  • RSA Stage III Typing/Word Processing III, parts 1 and 2.

  • Degree in Business Administration in the NHS.
  • NVQ in Customer Services.

Special Knowledge/Skills

  • Must be able to work on own initiative and act independently.
  • Good organisational skills, with an ability to work within a pressured environment working to tight deadlines.
  • Demonstrate ability to work within a team.
  • Excellent written and verbal communication skills.
