Job summary

Are you excited by working in a busy, fast paced service? Being the first point of contact for patients, staff and visitors you will demonstrate excellent customer service skills, an ability to prioritise your workload, and strong attention to detail.

Working closely with our General Office Administrators we are seeking an enthusiastic, motivated individual who is flexible in their approach and willing to learn.

This is a full time position working 37.5 hours per week Monday to Friday.

Main duties of the job

To carry out administration duties in a manner that supports departmental targets and ensures compliance with standard operating procedures.

To provide support and cover as required to the General Offices at Dewsbury and Pontefract Hospitals.

Key Responsibilities

  • Dealing with telephone enquiries and assisting callers to the relevant department.
  • Sorting and transacting of External & GP Surgery Mail. Ensuring post is sent out correctly and confidentially to the deadlines specified.
  • Demonstrate good communication skills and working relationships with all staff working within the Department and the wider hospital environment.
  • To plan, prioritise, organise and manage own workload and to have the ability to deal with frequent interruptions, which will regularly involve changing from one activity to another.
  • To work as part of a team and to be responsible for ensuring all incoming work is prioritised and handled within appropriate timescales, seeking advice where necessary.
  • Cash handling for processing patient Travel Reimbursement via the Healthcare Travel Costs Scheme (HCTS), and also the receiving and receipting of Charitable Fund donations.
  • Ensuring that all outgoing material reflects a high standard according to the corporate style and templates.
  • Collating and distributing information, providing a professional front of house administrative service on each of the three sites.
  • Entering information onto relevant computer systems and databases.
  • To undertake any other duties that may be reasonably requested to facilitate the smooth running of the Trust ensuring confidentiality is upheld at all times.
