Job summary

An exciting opportunity has become available in our Medical Staffing Department.

We are looking for a competent, highly motivated individual, who is customer focussed to join the Rota Coordination Team.

The Senior Medical Staffing Rota Coordinator post is designed to provide an effective and comprehensive Service for Medical and Dental staff with Mid Yorkshire Teaching NHS Trust.

The successful candidate will be required to possess requisite knowledge, excellent communication skills, strong attention to detail and accuracy.

Main duties of the job

The successful candidate will assist the delivery of key developments including but not limited to:

Efficient Medical workforce rota design

Day to day operational management responsibility of medical staffing rotas. Identifying and reporting vacancies in rotas, alerting clinical and non-clinical managers including Clinical Rota Masters in order to assist with timely recruitment of permanent and/or temporary medical staff.

Ensuring staffing issues are communicated appropriately, notifying managers of potential problems and ensuring the requirement for contingency planning is escalated in a timely manner.

Actively seek the reduction of medical agency costs by ensuring compliance with the Trust Policy to Guide the Employment of NHS and Agency Doctors. To ensure Standard Operating Procedures are followed and that locums are engaged in accordance with the Trusts Locum procurement arrangements.

Liaise with clinical and non-clinical managers to produce and publish rotas in accordance with standard operating procedures. Where rota amendments are required, collate and agree these and ensure all relevant staff are advised.

To implement and manage robust sickness absence reporting and monitoring, annual leave and study leave processes for medical and dental staff ensuring compliance with relevant Trust policies and Standard Operating Processes and that minimum staffing levels are not compromised.

Liaise with clinical and non-clinical managers to produce and publish rotas in accordance with standard operating procedures. Where rota amendments are required, collate and agree these and ensure all relevant staff are advised.

Support the Medical Recruitment/Junior Doctor team in relation to the recruitment and induction of junior medical staff as required.

Support the processing of exception reports.

Where locum coverage is required co-ordinate the locum booking process ensuring that identified parties are contacted in a timely manner and in line with Trust policy.

Co-ordinate the induction of junior doctors in training and locum staff.

Working in partnership with managers, clinicians and administrative staff to deliver key targets and ensure a safe, effective and efficient service is maintained.

To produce regular reports (as required) on specialty compliance with systems and procedures for locum booking, sickness absence, travel and study leave.

Day to day operational management responsibility for adherence to national guidance/policies relating to the engagement of agency staff.

Ensure adherence to national price caps for agency staff and monitor costs arising from the use of locum staff. Adhering to local escalation processes and undertaking the timely completion of financial data collection in accordance with national requirements.

Check all locum agency time sheets to ensure agreed rates and hours are charged and any discrepancies referred to the relevant personnel.

To validate all claims for temporary medical staffing placements against relevant records.

To validate junior doctor excess travel claims as necessary.

The post holder will ensure the proper use of the Trusts resources such as stationery, telephone usage, photocopying and other consumables in the course of business, ensuring minimal waste and minimal cost.

To maintain the confidentiality of the Trust in respect of patient and staff information obtained at all times, and use such information only as authorised for specific purposes. Report any concerns about the use of such information to the senior manager.

The post-holder is responsible for taking reasonable care with regard to himself/herself as well as for any colleagues, patients or visitors who might be affected by any act or failure to act by the post-holder in accordance with the Trusts policies on Health and Safety at Work.

To report any accident, untoward incident or loss relating to staff, patients or visitors according to Trust policies.

To undertake in-service training relevant to the post.

The post holder will be required to undertake training events at any site across the trust
