Job summary

Applicants are invited to join our Medical Physics Team at Mid Yorkshire Hospitals. Based at Pinderfields Hospital in our reception office you will be working as a member of the admin team to support clinical staff by providing a comprehensive, high quality administrative service. You will undertake a variety of duties including answering busy telephone line, logging equipment faults, liaising with clinical engineers regarding equipment status, monitoring availability of library equipment for wards and departments and responding to consumable stock requests. The role also includes a substantial amount of data in putting relating to tasks that clinical engineers have undertaken. A flexible approach to work and to supporting colleagues across the team is essential. You will be required to do a 10 minute data in putting assessment on the day

Main duties of the job

Asan administrator you will be required to work in the Medical Physics Department to help provide a comprehensive administrative support to the Medical Physics teams. Duties will include answering the telephone, taking messages, recording jobs on the departments database system and general office duties in accordance with Trust policies and procedures. The post requires a self-motivated and professional individual with the ability to work on own initiative and communicate effectively with all levels of staff. The successful applicant will have a working knowledge of Microsoft Windows based programs including Microsoft Office and enjoy working as part of a team.

Job responsibilities

  • Act as a focal point for the Medical Physics team. Provide a friendly and professional service, deal with enquiries from a multitude of sources following Trust policies and standard operating procedures. This may require the use of tact/empathic or reassurance skills. In addition, persuasive skills are often required where agreement or co-operation is required in trying to avoid complaints.
  • Answering the telephone and accurately recording calls appropriately including entry on to the call logging database.
  • Ensuring all requests for work are accompanied by the correct documentation.
  • Entry of completed service reports onto the database, scanning and attaching service reports.
  • Assist Medical Physics teams with administrative tasks, e.g. utilising IT systems or ensuring paper forms are completed and sent to relevant departments in a timely manner in line with service specific standard operating procedures.
  • Prioritise and ensure requests are acted upon in an appropriate and timely manner, within standard operating procedures and meeting KPIs.
  • Accurate recording of all paper/computerised records, updating and amending information timely and within standard operating procedures.
  • Undertake routine or ad hoc data validation as directed.
  • To be responsible for ensuring copies of correspondence are stored in accordance with standard operating procedures.
  • The post holder will give relevant assistance and training as and when required to support all colleagues.
