Rotherham Care Group Admin Lead posts x 2 [1.0 WTE Acute based at Woodlands, 0.8 WTE Community based at Centenary Clinic]

We are looking for 2 motivated leaders who are caring and work to high professional standards who will lead the administration staff and medical support functions across Acute/Community Mental Health services within Rotherham Care Group, These roles will include line management for administrative staff, data quality, support for the achievement of service KPIs and customer service. This is an exciting opportunity for applicants with experience of staff management, managing NHS budgets and performance reporting. These are Band 4 roles within Administration and Clerical assignment and does not apply to NHS Funding.

Main duties of the job

  • Work with Service Managers and the Improvement and Development Manager to support the ongoing development of administration services.
  • Working with Team Leaders, clinical and administrative staff; establish and streamline administrative processes across pathways.
  • Working with colleagues, ensure that IT system functionality is maximised and used effectively for the efficient service delivery.
  • Continually review administration systems and processes to ensure quality. Adapt and implement changes and updates where needed to meet commissioners and divisional needs.
  • Establish effective staff rotas to ensure adequate cover and administrative tasks across administration teams.
  • Work with Service Managers and Team Leaders to ensure the implementation and continuity of an appropriate referral and triage process for all pathways.
  • Implement appropriate systems for dealing with telephone enquiries, recording of telephone messages and required escalation procedures.
  • Develop and embed expected customer service standards ensuring they are achieved and maintained all aspects of administration work and communications.
  • Ensure the single point of contact hub and referral processes are appropriately advertised and communicated to stakeholders and partner agencies.

  • NVQ 3 in Business Administration or equivalent. RSA/OCR Level 3 Typing/Word processing or equivalent

  • Project management qualifications e.g. Prince 2.

Experience

  • Demonstrable experience of working in a busy office and pressurised environment and managing a diverse workload.
  • Knowledge and experience of using Microsoft Office applications.
