Job summary
We are looking for an administration assistant to provide administration support for the logistics management of wheelchair services. The post holder will support in maintaining a range of computer databases, liaising with suppliers, services users and the wider members of department to support efficient stock management and provision to patients.
Working hours will be Monday to Friday from 8:30am to 4:30pm.
If you don't already have a Level 3 qualification or equivalent experience in a relevant subject, RDaSH are offering this post alongside the opportunity for you to complete a Level 3apprenticeship qualification [relevant to your role].
As an apprentice within RDaSH you will be given the opportunity to gain experience, learn work-related skills and obtain all the tools needed to thrive.
An apprenticeship includes regular training with a college or other training organisation. Around 20% of your working hours will be spent training or studying. This leads to a nationally recognised qualification.

Main duties of the job
- Deal with telephone enquiries in a courteous and efficient manner
- To assist in the updating of the spare parts list to show current suppliers, suppliers stock codes, workshop stock codes, descriptions, and prices
- Input data on the spares database, recording the usage and delivery of spare parts and identify low stock levels
- Assist in the Preparation of creditors invoices for payment by assuring that they are accurately coded and highlighting any anomalies between the invoice and purchase order for the authorised signatory
- Monitor delivery dates, check deliveries against delivery notes, chase suppliers when needed and notify them of discrepancies and late deliveries
- Assist in the production of job sheets for the repairs, delivery and collection - using the appropriate database and associated system 1 work
- To assist the Wheelchair Logistics Coordinator to ensure the prepared wheelchairs are delivered for handovers at the clinics and home visits for appointed date and time
- Use stock management systems - and escalate problems in a timely manner to the Wheelchair Logistics Coordinator
- Document intervention and stock, using Microsoft Office, Uniquis and SystmOne
- Input data and collate statistics as required using appropriate methods
- Complete regular data quality checks on the logistics system
- Input into spread sheets and information systems to ensure accurate monitoring of required information in relation to service provision
