Job summary
This new and exciting opportunity will see the successful candidate support the recently rebranded Talking Therapies service (previously known as IAPT) in RDaSH. This role will support the Head of Service/Service Managers in delivering key objectives on quality, achievement of service KPls and customer service through strong administrative, organisational and project support/lead skills and experience. Areas of responsibility include establishing/improving administrative processes and data quality, performance reporting, assurance, customer service, and ability to disseminate information and communicate, verbally and/or in writing with a wide range of internal and external contacts across identified areas of services.
Whilst providing administrative/PA support to the Head of service and service manager to ensure effective and efficient working practices, the role will require the post holder to act as a central point of contact to develop systems and processes to ensure that all staff within the team are compliant with recruitment processes, supervision, mandatory and statutory training and PDR.
Main duties of the job
- Ensure referral processes are appropriately communicated to stakeholders and partner agencies
- Work with Talking Therapies Managers and senior admin to develop systems and processes to use resources and facilities effectively and efficiently eg. stationery, medical supplies, medical devices and room booking systems across the Talking Therapies teams
- Management of the service email inboxes
- Maintain open communication pathways between clinical and administrative staff
- Work with project leads to implement key service development initiatives
- Communicate effectively, accurately, applying discretion and empathy where necessary, with written, telephone and face to face contact, with patients, visitors, other Trust staff and external agencies
- Provide and utilise data reports to support appropriate staffing of services to meet service user demand
- Review work allocation and systems with team leaders / service managers
- Review administration systems and processes to ensure quality
- Adapt and implement changes and updates to meet commissioner and Care Group needs
- Ensure identified areas have systems and processes in place to carry out and monitor all appropriate risk assessments on administration staff at the appropriate timescales
- Provide written feedback to Service Manager
- Establish, implement and confidently work across multiple systems associated with the work and disseminate as required
- Maintain appropriate communication of relevant information in relation to any work activity
