Job summary
East Sussex Healthcare NHS Trust have owned and run their own onsite childcare facilities at First Steps Nursery, Conquest Hospital and Rainbows Nursery, EDGH for their staff for over 30 years.
A fantastic opportunity has arisen for an enthusiastic motivated Nursery Admin Assistant to join us and to help provide an effective, professional and comprehensive service to East Sussex healthcare Trust.
The successful candidate will need to work cross-site across both First Steps Nursery, Conquest Hospital and Rainbows Nursery, EDGH.
They will need to have strong administration and organisational skills and be able to provide efficient administrative support to the childcare managers and departmental teams in a busy and friendly environment. They will need to ensure that all weekly, monthly and termly tasks are completed in line with the Trust, Ofsted (Office for Standards in Education, Children's Services and Skills) and ESCC (East Sussex County Council) Early Years' Service ensuring the childcare settings remain compliant with standards and regulations as part of their registration to provide day care.
Good working knowledge of Microsoft Office is essential.
Main duties of the job
Key duties and responsibilities
Provide efficient administrative support to the department team under direction of the Lead Administrator and Childcare Managers.
Daily/Weekly duties:
1. Maintain and update electronic spreadsheets inputting data from attendance registers from weekly registers on to fee sheet.2. Maintain and update registers and waiting list spreadsheets3. To take messages, by phone, or in person, on behalf of the team, and deal with routine enquires about our services4. Undertake general duties e.g. photocopying/filing/sending routine emails5. Type letters and reports as required in a timely fashion6. Record mandatory training / absence / study leave for team.7. Send out information to prospective users of our service.
Monthly /Termly duties:
8. Enter data accurately on to systems internally and externally.9. Assist with monitoring and ordering of stationery, non-stores items and food supplies.10. Prepare labels/ tags /information sheets for nursery staff and parents/ users of our service11. Prepare & maintain spreadsheets for new nursery terms ensuring accurate data is inputted
Assist with other nursery related administration duties relevant to the post, as assigned by the Lead Administrator or Childcare Manager / Senior Nursery staff.
