Job summary
An exciting opportunity has arisen for an enthusiastic and motivated Administrator to join our team.You will be part of a small admin team,carrying out the day-to-day administration tasks for referrals to the CAMHS Getting More Help and Targeted teams.The post is for 22.5 hours, ie 3 days a week 9am -5pm (0.6wte) and must include Tuesday due to team meetings.You will be based in the offices at Erlegh House,in the beautiful grounds of the University of Reading.There is free parking onsite and our team is warm, compassionate, and welcoming.
You will have excellent communication and organisational skills; have the ability to multi-task and prioritise, be familiar with the Trust computer systems and have very good IT skills. You will need to be efficient in using Teams, Outlook, Excel and Word packages. You will have previous administration experience, as well as resilience to deal with its fast pace, patient-focus and the sometimes emotionally distressing nature of mental health issues.
The CAMHS Teams provide assessments, therapeutic interventions, and care coordination for children and young people who are experiencing moderate to severe complex mental health difficulties. We work as a close and supportive multi-disciplinary team and in partnership with other CAMHS teams and external agencies to provide high quality and holistic mental health care to young people.
Main duties of the job

Assist with planning and arranging meetings and events which may be internal or external to the service, ensuring all necessary arrangements are made, such as room bookings,refreshments, etc.

Attend designated meetings where the information may be complex and sensitive, taking and transcribing minutes. Distribute information prior to and after meetings in a timely way.

Maintain all office systems, both electronic and hard copy, across the service, ensuring that services run smoothly through having well planned and organised administrative systems and processes in place.

Assist in the efficient and accurate recording of data on all electronic systems.

Type confidential correspondence, reports and other documentation to a high standard within agreed timescales.

Provide dedicated secretarial support to Service Managers, as required, including diary management.

Assist in the collection, processing and presentation of data received for management and service information.

Maintain effective communication across the service, including procedures for answering telephones and taking messages. Report any faults with telephone equipment to relevant parties and monitor until any issues are resolved.

Organise all outgoing mail, ensuring mail is ready for collection as given times. Sort and distribute incoming mail.

Manage the distribution of service user and staff communications and information across the service.
