Job summary
The postholder willbe responsible forthe processing of dental referrals which are received electronically and in the post. The post holder will work closely with administrative and clinical staff within the Community Dental Service. The post holder will be expected to liaise effectively and professionally with all levels of staff and members of the public and to act as first point of contact for Community Dental Service enquiries. The dental software currently used is Sensei and full training will be provided. The post holder will also provide other administrative support as necessary to the Community Dental Service.
We are looking for someone with experience of administration, ideally within the NHS. You will need to liaise with the dental clinics and clinicians, patients of all ages or their representative, and other departments within BHFT. The applicant must be flexible and a good team player.
The service provides dental care to people who are unable to access dentistry in general dental practice due to disability or requirement for specialist care. As the service is provided over many sites, the ability to travel to other Trust sites is essential.
Working time: 37.5 hours per week, 8.30am-5pm, Monday-Friday, Office based role.
Main duties of the job
- Responsibility for processing all referrals to the CDS, including assessment, inputting data, obtaining additional information, compiling new patient records onto the clinical records system and forwarding to relevant Community Dental Clinics in a timely fashion.
- Responsible for processing enquiries, letters and reports.
- To record, collate and present service activity reports, audits and surveys as required.
- To deal appropriately with ingoing and outgoing post daily, ensuring all letters are recorded, processed and/or redirected efficiently.
- To respond to mail, telephone calls and emails to the CDS HQ inbox, ensuring accurate recording and transmission of messages, directing enquiries to appropriate staff and undertaking delegated action as necessary.
- To deal with telephone enquiries calmly and sympathetically, assisting patients with barriers to understanding (e.g. language, poor hearing, distress or aggression).
- To cascade information throughout the service as required.
- Undertake general office duties including filing, ordering stationery/equipment, printing, photocopying and shredding.
- Report faults with medical, IT, Estate and Facilities equipment and monitor until resolved.
- Receive and organise storage of inactive patient records.
- Assist in organisation of the CDS, including scheduling meetings, taking/distributing minutes, and organising Study Days and training programmes.
- Undertake ad-hoc duties as required by the Operations Manager and Service Manager.
