Job summary

This post is in the Medical Records Department and the post holder will be responsible for the retrieval, maintenance and preparation of patient case notes for patients attending the Trust for care and treatment. Validation of patients on waiting lists, liaising with patients over the telephone and quality assurance of scanned documentation on the Trusts EPR system.

Warrington and Halton Hospitals NHS Foundation Trust operates across two sites, with the Medical Records Department providing case notes for patients attending the Trust, we also validate patients on waiting lists throughout the Trust to ensure only patents who require care and treatment are waiting. Job description

Job responsibilities

This post is in the Medical Records Department and the post holder will be responsible for the retrieval, maintenance and preparation of patient case notes for Outpatients, Elective Admissions and Emergency Admissions. Retrieval of case notes from Medical Records Libraries and other departments/wards & clinics within the Trust, to record the movement of the case notes on the Trusts EPR system, Lorenzo and to file case notes returned to the Medical Records Libraries.

The Medical Records Department provides a quality assurance function in support of scanned documents, this will mean verifying the authenticity of the scanned copy by undertaking Quality Assurance reviews of paper medical record documentation against QA criteria to ensure that scanned documentation meets the required standards.

The post holder will liaise with patients on the telephone and input data onto the Trusts EPR system to record the outcome response for Outpatients following waiting list validation.

The Medical Records Department is situated across all Trust sites and operates between the hours of 8am to 8pm, seven days per week including bank holidays.

Essential

  • Able to plan workload and work under pressure.
  • Ability to use initiative within clearly define parameters.
  • Able to work within a team.
  • Good communication skills with all levels of staff

Desirable

  • Experience of using PAS and other patient/hospital related computerised systems.

Qualifications

Essential

  • GCSE English & Maths Grade C and above

Desirable

  • NVQ Level 2 in Business Administration

Experience

  • Minimum of 6 months clerical/administration experience.
  • Awareness of the General Data Protection Regulation (GDPR) and the Caldicott Principles.

Desirable

  • Knowledge of Medical Records Policies and Procedures. Validation of records, ensuring documents are accurate.
