Job summary

The procurement function at Warrington and Halton NHS Teaching Hospitals is well respected at board level and throughout the organisation. It is regarded as being exceptionally well led with a team always looking for new and innovative ways of improving the service provided. The Logistics function is a key part of this team., for the daily momentum of hospital practice. During the pandemic The Procurement - supplies department were pivot in the Trust's ability to protect both staff and patients through effective PPE and diligent horizon scanning for supply chain issues.

A vacancy within the Halton Hospital team has developed. The Supplies Operative role will be to undertake a broad variety of storekeeping duties to ensure that goods are received and distributed throughout the organisation ensuring timely provision of clinical and non-clinical supplies for the treatment of patient thereby supporting patient safety and wellbeing.

The successful applicant should they wish, will be able to study on an apprenticeship pathway and will be given training time to complete this.

We are looking for someone who ideally has experience of working as a Store person or Warehouse Operative but this is not preclusive. The ideal person will have excellent administration and organisation skills and has the ability to maintain organisation throughout the day. The Trust's wards and departments rely on having the equipment and materials it needs in the right place, on time.

Main duties of the job

To support the Supply Chain Manager in providing and managing an effective inventory of supplies essential to the daily operations of the Trust. This includes receiving deliveries, inspecting items for quantity and quality and accurately recording stock levels.

Stores operatives also organise and maintain supplies service to the Trust that delivers the appropriate goods and services in a timely manner towards business as usual activity.

Effective communication and attention to detail are essential in the role to ensure the smooth functioning of hospital operations

Job description

Job responsibilities

1. Operational

1.1 To work within the Procurement Departments Standard Operating Procedures with a particular understanding of those that apply directly to the logistics function.

1.2 Maintain the stores in a clean and tidy condition.

1.3 Undertake the correct marshalling of deliveries breaking these down where necessary to facilitate the most efficient loading and distribution to customers with minimum delay, ensure relevant paperwork is attached to goods before delivery to customer.

1.4 Undertake the receipt of deliveries from all suppliers, ensuring that adequate checks are made and that the delivery is correct in terms of quantity and description, purchase order details and details printed on packaging

1.5 Responsible for safe receipt of goods and subsequent deliveries throughout the organisation ensuring the goods are appropriately signed for and that an accurate record is kept of all receipts and issues.

1.6 Ensure that goods received match those ordered prior to booking and deliver thereby avoiding the need for collection and return to supplier later on.

1.7 Ensure that all deliveries received comply with the Procurement Departments Standard Operating Procedures refusing deliveries as appropriate following liaison and agreement with the relevant purchasing contact and Assistant Supply Chain Manager.

1.8 Liaise with suppliers to organise the collection of returns and associated credit ensuring that goods are correctly labelled and that all paperwork is accurately processed.

1.9 Make judgements regarding delivery schedules to determine order or priority dealing with most urgent first.

1.10 Re-assess and re-prioritise work to take account of unforeseen/unplanned variances in activity such as dealing with urgent deliveries required to be dealt with on the same date and to take account of unexpected delivery loads.

1.11 Work with wards and departments to pro-actively solve problems received on a regular basis.

1.12 Deal with routine enquiries on goods delivered to the satisfaction of the customers.

1.13 Required to work towards achieving and maintaining a predetermined delivery turnaround service level.

1.14 Undertake the physical handling, picking, packing and issue of stock items as required.

1.15 Required to maintain adequate stocks of medical and surgical supplies in accordance with agreed levels along with the submission of requisitions for stock replenishment.

1.16 Input data required to support the logistics KPIs.

1.17 Ensure all filing is carried out and that records are easy to locate.

1.18 Ensure that all archiving of records takes place periodically and that all boxes are correctly labelled for both ease of access and destruction.

1.19 Create requisitions for the replenishment of stock within the Estates store ensuring that sufficient stocks are ordered to meet demands without overstocking and the associated costs that relate to overstocking.

1.20 Maintain adequate Estates consumable lines as required in accordance with agreed levels.

1.21 Keep an accurate record of all work undertaken to meet audit requirements.

2. Customer Consultation

2.1 Inform customers throughout the organisation on purchase requisition and delivery procedures making reference to the Trusts Standing Financial Instructions that must be adhered to.

2.2 Offer advice to customers throughout the organisation who have not used correct channels/processes to ensure that their service needs are met and that the service is delivered appropriately.

2.3 Maintain regular contact and ensure a quick and effective response to all queries and complaints.

3. Physical Effort / Working Conditions

3.1 There is an ongoing requirement to exert light physical effort.

3.2 There is an occasional requirement to exert intense physical effort for several periods during the working day.

3.3 Physical duties will require the manual handling of loads of various weights up to 200kg mechanical aids are available to assist with this.

3.4 Required to work exposed to outside temperatures in an environment that is not enclosed. Subject to temperatures that will fluctuate and can often be very cold in the winter months and very warm in the summer months. Frequently moving from cold temperatures in winter to very warm temperatures when distributing goods to clinical areas.
