Job summary

Nursing and Professions has a vacancy for a full time (37.5 hours) Compliance Support Assistant to join its team. You will be responsible for providing effective and efficient administrative support to the Compliance Manager and the Health and Safety (H&S) Manager.

There is an expectation for you to be highly motivated and have excellent organisational skills due to working with two portfolio holders. You will be responsible for providing assistance for key aspects of Trust Regulatory work, in line with legal and regulatory requirements (such as the Care Quality Commission (CQC) and Health and Safety Executive (HSE)), and local and national priorities.

You will have excellent planning and organisational skills, and exceptional attention to detail. You will take pride in your work and consistently strive to produce work of the highest standard. Excellent time management skills and a high standard of skills using Microsoft Office packages is crucial.

You will need to be able to meet deadlines, prioritise a varied and busy workload, be a team player and have the ability to be flexible in line with service needs. You must be able to travel to site visits across the whole of Devon in a timely manner, sometimes at short notice, and always maintain standards relating to administrative processes.

Main duties of the job

Key Responsibilities include:

  • Comprehensive diary and generic inbox management.
  • Management of the Shared Drives / SharePoint.
  • Taking and distributing formal minutes following clinical site visits such as CQC mock inspections, rounding visits and ad-hoc meetings including recording clear actions as required and their follow up to check completion
  • Scheduling clinical site visits and H&S audits into diaries
  • Preparation for clinical site visits including auditing of patient notes
  • Auditing the completion of the CQC Self Assess Tool.
  • Requesting information from services ensuring the managers are aware of the information ahead of any meetings/ visits
  • Monitoring of CQC enquiries and supporting the Compliance Manager with the collation of responses
  • Supporting the dissemination of Smart Survey audits for the H&S Manager, and collation of responses
  • Assisting with the development and updating of communication and engagement information on behalf of the team such as DAISY CQC and H&S pages, special bulletins
  • Supporting CQC Inspection and HSE Investigation activity with coordination and planning as required
  • Supporting the planning, monitoring and tracking of CQC and H&S improvement action plans, updating all relevant documentation, identifying any gaps in compliance as improvement action plans progress and support the quality assurance process.
