Job summary
Devon Partnership NHS Trust is seeking a motivated and experienced Band 4 Business Administrator to join Meadow View Ward at North Devon District Hospital, Barnstaple.
This is a substantive post for 30 hours per week, supporting an inpatient mental health service delivering high-quality, recovery-focused care.
The post holder will provide effective leadership and coordination of ward-based administrative services, ensuring robust systems and processes are in place to support multi-disciplinary clinical teams. Working closely with clinical managers and operational colleagues, you will play a key role in enabling safe, efficient and patient-centred services by ensuring administration functions are delivered to a high standard.
You will be responsible for line managing the administration team, overseeing workforce planning, supporting service development and maintaining strong communication across the ward. This role requires excellent organisational, leadership and interpersonal skills, with the ability to work flexibly in a dynamic healthcare environment aligned with the Trusts values of care, compassion, commitment and collaboration.
Main duties of the job
- Provide line management to the administration team supporting multi-disciplinary teams
- Recruit, induct and retain administration staff, ensuring appropriate staffing levels and effective leave cover
- Develop, review and maintain efficient administrative systems and processes to support clinical teams and maximise clinical time
- Chair and facilitate regular administration meetings, promoting shared learning and service improvement
- Manage meeting administration, including formal minute-taking, action logging, follow-up and attendance records
- Ensure staff have access to appropriate training, equipment and a safe, effective working environment
- Monitor and report building maintenance issues, ensuring hazards and repairs are recorded and escalated via appropriate systems
- Develop, implement and maintain Business Continuity Plans for the area of responsibility
- Build and maintain effective working relationships with clinical managers, ward staff and corporate services
- Ensure staffing, patient and finance systems are accurate, up to date and processed in a timely manner
- Maintain effective communication with staff to support morale, engagement and motivation
- Promote a positive, inclusive and supportive working environment where staff are valued, developed and supported to reach their full potential
