Job summary
Due to internal promotions we are looking for two new ward administrators for our Urgent and Inpatient Care wards at Torbay Hospital.
Based in our brand new admin hub at Salus Ward, this is a varied and interesting role providing administrative support across the ward and administrative and secretarial support to operational staff as required.
We are looking for a highly motivated, flexible and multi-skilled professional with excellent organisational skills including Microsoft Office packages and experience of using bespoke IT systems.
This role will promote good customer service and effective working relationships.
The Ward Administrator essentially provides the administration function for the clinical teams and associated members (MDT) who work on the ward and works closelywith the Ward Manager and their team to provide the administrative function required for the services to operate effectively and efficiently.
The post holder will need to meet deadlines, collate data and maintain standards relating to administrative processes. They will need to be able to work within a team effectively and share work streams where appropriate. The role will involve the coordination and implementation of office procedures and will require a high degree of organisational skills and excellent working knowledge of administrative systems.

The post holder has a key role in providing administrative support across the ward and administrative and secretarial support to operational staff as required. Responsible for dealing with queries, that may necessitate in researching information to facilitate the outcome of the query. Manage nursing office diary, coordinate pool car bookings, place orders and receipt goods received. Manage the petty cash, ensuring that the data relating to petty cash is recorded appropriately. The Ward Administrator post may have regular contact with people who use our services. Frequent communication with vast range of services and individuals, building a wide network of contacts and developing professional relationships with both teams based on the ward and those based elsewhere. The first point of contact for all telephone calls to the ward. Use of a variety of manual and computerised systems that include rotas, room booking calendars, patient records and processes for recording postal systems. Produce a variety documents from other online systems to inform the Trust on key performance indicators (KPI). Signpost staff and visitors to appropriate appointments, contacting teams/individuals to inform them of visitors arrival and ensuring that there is a timely response. To ensure that all communication is within the boundaries of patient confidentiality and to seek guidance when unsure.
