Job summary

Maternity Hub Administrator, Kidderminster Treatment Centre

Band 3 37.5 hours per week

An exciting opportunity has become available within a small established team of receptionists, providing the first point of contact for women attending the Kidderminster Maternity Hub. The Maternity Hub hosts a wide variety of clinics, including midwife and consultant antenatal clinics, scanning clinics, and postnatal clinics. There are also Gynaecology clinics held each week. The Maternity Hub is a busy, interesting and friendly place to work, providing an excellent service for women and their families

Main duties of the job

The post is a Band 3, working 37.5 hours per week. We are looking for someone who enjoys working within a team, is flexible and committed to providing high quality care for pregnant women. Good IT and administrative skills, combined with excellent communication and organisational skills are essential as well as the ability to train staff within the department.

The applicant should be able to lead a team to ensure all appointments are arranged effectively to provide a seamless patient experience within the Hub.

Job description

Job responsibilities

Job Purpose:

To lead the admin and clerical team of receptionists who support the maternity and nursing staff with delivering efficient clinical care.

To manage and facilitate clinic timetable changes and set up new clinics on all IT systems used in the Hub, including micro-sessions if required by the Maternity Hub Team Leader.

To receive and deal appropriately with a wide range of antenatal referrals in accordance with local guidelines.

To receive telephone enquiries from the public and a wide range of health professionals and respond appropriately to their needs.

To ensure all electronic systems are maintained in accordance with departmental and Trust standards

To deal with payments received for scan photographs.

To manage ordering and supplies of stationary and office equipment

To ensure all admin and clerical preparation for clinics is undertaken in a timely manner.

To ensure the on-going plan of appointments are made efficiently and effectively.

To ensure safe and secure management of patient records on electronic systems.

Key Duties:

To ensure the reception service is covered with appropriately qualified staff.

Assist with recruitment for reception staff

Assess and approve annual leave requests are equitable and allow for safe service delivery

Preparation of Clinics Assess capacity for clinics by ensuring prior knowledge of consultant availability and making adjustments and booking appointments accordingly.

Maintaining robust evidence of communication between medical secretaries and Maternity Hub Team Leader relating to consultants annual leave study days on-calls and audit.

Maintain awareness of appointment capacity for ultrasound scans undertaken within the Trust ensuring time allowed for scans reflects the clinical need.

Ensure new referrals are assigned the appropriate obstetrician and if in doubt seek guidance from a clinic midwife.

When booking new referrals, checking patient registration details and demographic information and then raising maternity events notes and recording them in accordance to the trust guidance on electronic system.

Set up new clinics or rearrange clinics on PAS as requested by the Maternity Hub Team Leader in response to service needs, especially prior to or following bank holidays.

Provide clerical support by booking patients in and out of clinic and making complex series of follow-up appointments.

Dealing with telephone enquiries from patients and their relatives in a polite and professional manner. Recognising when to seek help from other health professionals and who is best placed to deal with the issue.

Attend Trust wide meetings to aid collaborative working with other departments.

Supporting the reception team when dealing with challenging situations and under pressure.

Ensuring all equipment such as PCs, answerphones etc are all in good working order.

Undertake annual PDRs with reception team under the guidance of the Maternity Hub Team Leader.

Dealing with all post in and out of the department.

Awareness of patients who have special requirements for example those who have an interpreter present for the appointment and those with disability and ensure their needs are effectively communicated to the team and to the midwifery staff on duty.

Inform the midwife if a patient cancels her appointment to ensure her care can be reviewed/revised appropriately.

Raise awareness to the Team Leader or Midwife in charge if the patient waiting time during clinic has become too excessive.
