Worcestershire Acute Hospitals NHS Trust

Rota Coordinator - Obstetrics & Gynaecology

The closing date is 01 February 2026

Job summary

*** This vacancy is currently only open to Worcestershire Acute Hospital NHS Trust staff ***

We're looking for someone who thrives in a busy, people-focused environment and takes pride in getting things right. Our Rota Coordinator is integral to the smooth running of our Obstetrics & Gynaecology services across Worcestershire. This is a great opportunity for someone who enjoys problem-solving looking for exposure to Operational Management.

In this full time role, you'll be the go-to point of contact for all things rota-related from updating and maintaining medical staffing rotas to arranging locum cover and supporting our clinicians with day to day queries. You'll work closely with consultants, resident doctors, Operational Management, HR, Finance, and a wide range of colleagues across the Trust.

You'll use Allocate Optima systems (including HealthRoster, Activity Manager and Loop), so whilst previous experience would be ideal, confidence with databases and Microsoft Office is essential as full training will be given. Previous experience coordinating rotas or supporting medical staffing would be beneficial but what matters most is your attention to detail, your organisation, and your commitment to delivering a reliable, high-quality service.

If you're someone who cares about making a tangible difference behind the scenes, and you want to be part of a friendly, dedicated team, we'd love to hear from you.

Main duties of the job

In this role, you'll be responsible for coordinating and maintaining accurate medical staffing rotas across the Gynaecology service, ensuring all shifts are safely covered and updated in real time.

You'll work closely with consultants, resident doctors and the wider operational team to manage leave, sickness, study time and rota changes, as well as arranging locum cover through Allocate systems and supporting the Directorate with payroll queries, documentation and monthly reporting. Alongside this, you'll help keep essential administrative processes running smoothly from preparing rotas and maintaining personnel files to supporting meetings and contributing to wider directorate tasks all while balancing deadlines, priorities and the fast-paced nature of the service.
