An
exciting opportunity has arisen within the Therapy Services Department for an
individual who is enthusiastic and self-motivated to join our admin team.
This
is a part-time, 30 hours per week position to be worked over 4 days that will
be based at Kidderminster Hospital and Treatment Centre in Kidderminster.
The
post holder will play an important role in providing efficient and
comprehensive receptionist support to the therapy inpatient and outpatient
services, ensuring that administration processes meet the needs of all service
users and the Trust.
We
are looking for an individual with a positive and compassionate approach to
supporting patient care and service improvements. You must be approachable,
have a flexible approach to work, and be able to form effective working
relationships.
We
operate across several electronic systems to ensure accurate record-keeping,
and you must be able to concentrate in a busy working environment.
We

within the needs of the service to support the number of hours required.

Main duties of the job
To act as receptionist and administration assistant for the therapy outpatient service, meeting, greeting, and directing patients appropriately. Maintenance of therapists appointment diaries via PAS booking system, booking appointments, and ensuring the efficient day to day administration of the front desk.

- Deal with telephone enquiries from patients, relatives, medical Practitioners and Consultants.
- To receive and register a high volume of referrals from multiple sources.
- To meet, greet and direct all patients and visitors to the department.
- To make appointments for new and existing patients.
- To deal with DNAs and cancellations appropriately.
- To keep all new patient and follow-up treatment slots filled as far as possible.
- To cancel patients appointments if the therapist is off sick.
- Participate in the staff development programme and receive annual appraisals.
- Comply with Trust policies and procedures.
- To record monthly statistics re: waiting times for treatment, DNA rates, clinic utilisation data
- Transfer of patients to other Hospitals as appropriate
- Registration of all patient details on the therapy record and information system
- To maintain an accurate filing system for patient records to facilitate retrieval as necessary.
- Maintenance of stationary, equipment and patient information stocks.
- Other clerical duties to facilitate the smooth running of the out-patient department i.e. Monitor the waiting lists, ensure outpatient clinics are full and running at capacity.
- Other clerical duties as directed by therapy management considered appropriate to grade and role i.e. Data collection and entry.
- To participate in co-ordination with the therapy management in a regular review of all duties.
