Receptionist / Appointments Co-ordinator - Rowan Suite

We are looking for a full-time enthusiastic, friendly and efficient Receptionist to join our team on Rowan Suite Chemotherapy and Outpatient Unit based at Worcestershire Royal Hospital. This is a full-time post (37.5 hours) worked between the hours of 9am to 5pm Monday to Friday.

We are keen to find someone who is personable, empathetic and able to put people at ease when they attend the unit. You will need excellent communication skills to engage with patients, their loved ones and colleagues. You will need the ability to work as part of the team and under pressure to flexibly support the team on the unit. You will need previous administrative experience working within a patient related or customer service environment, preferably within a hospital or clinical environment, good organisational and IT skills, ability to prioritise and have the initiative to work unsupervised when necessary.

Main duties of the job

  • Provide a warm and professional welcome to all patients, carers, and visitors.

  • Manage patient check-ins and appointment arrivals for treatment and outpatient clinics.

  • Answer telephone and face-to-face enquiries, offering clear and accurate information.

  • Maintain patient confidentiality and comply with NHS policies at all times.

  • Update and manage patient records using relevant NHS systems (e.g., PAS, EPR).

  • Coordinate with nursing, medical, and administrative teams to ensure smooth clinic flow.

  • Schedule appointments, issue letters, and support the patient pathway as required.

  • Assist with administrative tasks such as filing, scanning, and preparing clinic/treatment paperwork.

  • Respond sensitively to distressed patients or relatives and escalate concerns appropriately.

  • Support the wider team in maintaining a safe, compassionate, and patient-centred environment.
