Job summary

We currently have an exciting opportunity for a forward thinking, proactive and highly motivated Ward Clerk to join our Day Case and Short Stay Surgery Team at Kidderminster Treatment Centre. The department consists of a Theatre Admissions Unit, Day Surgery Unit and Short Stay Surgical Ward.

We are looking for candidates with excellent communication skills to both colleagues and patients, handling face-to-face, email, and telephone enquiries efficiently. You will manage conflicting demands and prioritise your own workload effectively.

Main duties of the job

Receiving new patients and welcoming accompanying relatives and friends, explaining basic ward routine and answering initial questions pending Ward Manager being available.

Preparing identity bracelets as required, adding the call me and labels for notes etc.

Making arrangements for patients discharge, including transfers to other hospitals and wards, booking transport.

Checking case notes, tidying and returning them to scan centre.

Answering several phones on the Ward in a professional manor and conveying messages to the appropriate person.

Photocopying, scanning and ordering paperwork required for the Ward.

To receive general telephone calls, recording messages and dealing with initial enquiries in a friendly professional manner and referring the call to the relevant member of staff, as appropriate.

To provide a reception service, gathering information and taking initial action within defined protocols to assist in resolving any queries.

Ensure that patient case notes are available, creating temporary notes whilst original notes are located. Maintain case notes in a tidy manner, filing results and other patient documents in accordance with Trust policy, including admission and discharge of patients. Ensure that all notes movements are tracked on PAS, including collection and return of case notes to dept.

Job Purpose:

This is a generic job description which covers a range of duties that a Ward Clerk

may be required to undertake.

To provide administrative and clerical support to the ward, professional qualified staff and provide first point of contact to all users of the service.

To ensure the availability of accurate patient records and documentation as per Trust policies and procedures.

14.To arrange transport between departments and to destinations outside the hospital, as required for specimens e.g. blood sample.

15.To transfer valuables to General Office (Cashier) and appropriate documentation.
