We have an exciting opportunity for aSupply Chain Implementation Leadto join our Procurement and Supply Chain department. This is a Countywide position covering the Alexandra Hospital, Worcestershire Royal Hospital and Kidderminster Treatment Centre.
Our Procurement and Supply Chain team provide professional procurement expertise, advice and services across the organisation ensuring value for money is achieved, whilst fundamentally supporting the delivery of high-quality patient care.
Under the direction of the Head of Supply Chain, the Supply Chain Implementation Lead will provide Implementation support on the roll out of Inventory Management and contract execution and completion within the Trust. The post holder will provide training and support to new users for the Inventory Management system ensuring implementation is delivered within the timescales set. The post holder will be also be required to undertake initial stock take duties within clinical settings and support go live initiatives within each area. The post holder will also ensure accurate implementation of contracts which require standardisation and rationalisation of clinical products. Efficiency and accuracy are key requirements and you working in a busy, dynamic hospital environment whilst complementing and interacting with the wider Procurement and Supply Chain function.
This is a full time post (37.5 hours per week) Monday to Friday.
Main duties of the job
This role willprovide administrative support to the Head of Supply Chain and the Inventory Management Project Team whilst gaining an understanding of the Inventory Management System independently resolving day to day problems as they arise. They will work with Strategic Procurement and lead on contract implementation involving stock management. Overseeing successful execution of product switches ensuring stock has reached its optimum level to be removed from service. This post will help ensure IM system management has been conducted for any product switches and shelf labelling is updated in a timely manner and acts as the first point of contact for all enquiries from end users.
Strong administration and organisational skills are essential to this role preferably with experience in a Hospital environment. Good communication skills and knowledge of MS Office, NHS Supply Chain systems and stock management are highly desirable. Flexibility for cross site working is also required.

To ensure that these are produced in-line with the agreed format, and distributed as necessary.
2. Attend regular meetings in connection with contractual implementation and product switches ensuring stock has reached its optimum level to be removed from service and new products are in place to reduce service disruption.
- Enhance relationships with the appropriate departments and service providers to ensure that a good customer-focused climate is maintained.
- Take ownership for the delivery of short term projects as allocated by the Head of Supply Chain or other members of the Inventory Management Project Team and understand how they contribute to the overall implementation of the inventory management system
- Assist the Head of Supply Chain and Supply Chain Manager in the development and planning of the overall project plan.
- Demonstrate project management skills in ensuring that all key project milestones and deliverables are met in a timely manner.
- Maintain project and implementation plan in line with the departmental SOPs and processes ensuring all actions are completed on time understanding the interdependencies between tasks and roles.
- Assist in day-to-day budget management duties, including administering and monitoring the Inventory Management project budget and ensuring stock valuation is at the optimal valuation for any Implementation changes.
- Provide regular updates as and when needed ensuring the project plan is in a presentable format and up to date.
- Using Excel be responsible for analysing data with suppliers to be able to produce inventory lists for specified wards/depts. to load onto an inventory solution. To also export any stock valuations and influence Implementation decisions in conjunction with new contracts.
- Populate spreadsheets with product and supplier information during stock takes
- To arrange meetings on behalf of members of the Project Team, liaising with other secretaries/staff as appropriate to set a mutually convenient time/date. This may include the booking/arranging of a suitable venue, equipment and refreshments.
- To prepare/draft meeting agendas, letters and supporting paperwork for approval/amendment by the Head of Supply Chain as appropriate, ensuring that this information is circulated to the relevant individuals in good time.
- To monitor outstanding responses and chase/check progress to ensure deadlines, set by the Head of Supply Chain, are met.
- Develop methods to manage own workload to ensure that all work and information requests are provided in a timely manner and any problems in achieving these deadlines are flagged to the Head of Supply Chain as soon as possible.
- Develop Supply Chain skills by working with the Supply Chain Team and by using processes and procedures, including supporting the Supply Chain team on their daily assignments if required
- Assist the Supply Chain Manager in the development of internal stock management policies and procedures for each department to enable users to use new systems effectively.
