Job summary
An exciting
opportunity has become available within a small established team of receptionists, providing the first
point of contact for women attending the Kidderminster Maternity Hub. The Maternity Hub hosts a wide variety of
clinics, including midwife and consultant antenatal clinics, scanning clinics,
and postnatal clinics. There are also
Gynaecology clinics held each week.
The Maternity Hub is a busy, interesting, and friendly place to work, providing
an excellent service for women and their families.
Main duties of the job
The post is a Band 2,
working 30 hours per week within a small but very busy team of Receptionists. We are looking for someone who enjoys working within
a team, is flexible and committed to providing high quality care for pregnant
women. Good IT and administrative
skills, combined with excellent communication and organisational skills are essential.

Job responsibilities
Job Purpose:
To provide clerical support to
the clinical and midwifery staff. To
ensure the availability of accurate patient records and documentation as per
Trust policies and procedures. To deal with patients, relatives and other
members of the public politely and efficiently and ensure confidentiality and
security of patient information as per Trust policy.
Key Duties:
To provide a reception service for both antenatal and
gynaecology clinics. Electronically booking patients into and out of the
clinics, making follow-up appointments and recording clinical coding as
indicated.
Dealing with enquiries, gathering basic information and
taking initial action within defined protocols to assist in resolving any
queries from health professionals and members of the public, in person or via
the telephone.
Whilst receiving general telephone calls, record
messages and deal with initial enquiries, referring to the relevant member of
staff, as appropriate. To make telephone
calls on behalf of the Midwives as directed.
To update appointments, forms, etc. electronically in
patients notes.
To assist with housekeeping duties within the
department.
To maintain effective communication with colleagues
within the department.
To utilise effective electronic patient record systems.
Facilitate the prompt collection of data by liaison
with the clinical coding department.
Provide general clerical support such as photocopying,
opening and sending post, stock and equipment ordering and monitoring,
stationary orders, arranging repairs.
Other Duties:
To ensure the confidentiality of all patient
information and Trust business.
To comply with all Trust Policies and Procedures.
Attend all mandatory training.
In accordance with the Trust's Health and Safety
Policy, the post holder must take reasonable care of their own health and
safety and that of others who may be affected by their acts or omissions at
work.
The post holder must co-operate with staff in complying
with any statutory requirements and participate in the workplace monitoring
processes in order to help maintain a healthy, safe and secure workplace.
To report any accidents, untoward incidents and
complaints.
To create and maintain positive working relationships
with colleagues and other staff within the workplace.
To act always in a manner which will promote a good
image of the department.
To respond appropriately to clinical emergencies as
directed by the midwife in charge.
To contribute / to participate in any initiatives to
improve the quality of service to patients.
