Job summary

As Revalidation Support Officer, you will play a pivotal role insupporting the Medical and Dental Revalidation and Appraisal processes across the Trust. Working closely with our Clinical Lead, the post holder will provide high level system governance and work to support delivery of Trust targets, system training to a range of users, and produce compliance data.

Main duties of the job

We are looking for someone who is self-organised with an eye for detail and comfortable liaising with senior clinical staff on a daily basis. A really interesting role for someone who will preferably have a background in medical and dental terms and conditions, but full training will be provided to the successful candidate.

Medical and Dental Revalidation and Appraisal

Support the Medical and Dental revalidation process, assisting the Trust Responsible Officer (Chief Medical Officer) where necessary in their duties across the Trust.

Ensure the development, organisation and delivery of relevant levels of training are available for existing Trust Approved Appraisers including training on new systems and processes, adhoc training, appraiser networks events and ensuring the appropriate support systems are in place. Ensure that the all training is appropriately advertised, monitored and recorded. Maintain an accurate and up to date list of Trust Approved Appraisers ensuring that they attend Appraiser Networks on an annual basis.

Maintain an accurate list of prescribed connections to the Trust screening any new connections not initiated by the Trust to ascertain their validity.

Build and maintain a strong professional working relationship with the Trusts electronic appraisal software provider. Ensure that any system developments and planned down-time are communicated to all users.

To provide advice on the interpretation of guidance and policy to the Chief Medical Officer, Divisional Medical Directors, Clinical Leads and Directors and doctors of all grades regarding medical appraisal and revalidation.

Ensure that the Responsible Officer is updated in a timely manner of all changes within the medical and dental revalidation process inclusive of IT system changes, national updates and internal organisational changes and impacts.

Attend at the Responsible Officer and Lead Appraiser Regional and National Networks.

Ensure that the process for managing apparent non participation with medical appraisal is applied in a timely fashion, ensuring that reminder letters that are part of the process are issued in a timely fashion.

Run recruitment drives for new Trust Trained appraisers, arrange and facilitate the training session including room bookings, communications to candidates and liaising with the external training provider.

Co-ordination and administration of the bi-monthly Medical Appraisal and Revalidation Advisory Group (MARAG) ensuring high levels of accuracy including room bookings, invitations, drafting of agenda, minutes and action plans.

Co-ordinate the submission of the Trusts revalidations recommendations to the GMC in a timely fashion ensure there is an appropriate audit trail logged.

Ensure that ESR is updated accurately with appraisal information working with the Workforce Transformation team to ensure all regular dashboard deadlines are met.

Draft and send out communications on behalf of the Trust Clinical Appraisal Lead for Appraisal and Revalidation and the Responsible Officer.

Respond to telephone calls ande-mails in a timely manner ensuring that accurate, consistent responses are given thus eliminating the delay of appraisal meetings and unnecessary errors.

Help to manage the Trust Clinical Leads Appraisal and Revalidation workload bringing to their attention urgent issues and assisting with administration tasks as appropriate.

Manage the Revalidation Management System (RMS) ensuring that the system is utilised, maintained and updated appropriately, as directed by the HR Officer-Medical Resourcing.

Deliver appropriate initial RMS training and subsequent update training as required across the Trust.

Deliver the cascade training of the RMS, ensuring that all medical personnel and appraisers have the appropriate training to undertake the appraisal process inclusive of the utilisation of the RMS system and are aware of the General Medical Councils regulation of medical and dental revalidation.

Monitor, report and record appraisals and monitoring compliance.

Advertise, monitor and record relevant training.

Make available supportive documentation and updates to relevant parties as required and requested.

Support the medical appraisers across the Trust in planning the required appraisals and any additional timely support that is required to undertake the appraisal and utilise the RMS.

Update the Responsible Officer electronically and verbally in a timely manner of non-compliance in relation to the appraisers and appraisees participation within the medical and dental revalidation process.

Ensure appropriate monthly, annual and requested reports are produced and escalated to the Responsible Officer.

Manage and report any IT systems failures ensuring a log of events is maintained and escalated to theHR Officer for Medical Resourcing

Maintain a database of medical and dental appraisers ensuring that all appraisers are supported to have the required knowledge, skills and competence to undertake their role as appraisers in line with the quality assurance of Medical Appraisers framework.

Ensure that all Medical and Dental staff are aware and informed of the medical and dental revalidation process.

Propose, implement and review policies relating to Appraisal & Revalidation for the Responsible Officer.

Reports
