Job summary

An administrative role supporting the Dolphin out-patient department with clinic bookings and preparation, and providing administrative support to the Division, including the Governance team.

The role routinely involves working autonomously and using own judgement/ knowledge to support the smooth running of the service.

To play a key role in dealing with enquiries from patients and staff members from both internal and external organisations.

Job description

Job responsibilities

The postholder will be responsible for the following tasks: -

To support with the management of the out-patient waiting list for new and follow-up appointments, escalating any potential issues

To arrange appointments as appropriate following clinical triage

To monitor and action the Dolphin out-patient mailbox as appropriate

Regular communication with patients with regards to their appointments, ensuring appointment letters are sent within a timely manner

Actively manage patients who do not attend their appointment and seek further advice with regards to rearranging appointments

To ensure that clinics are appropriately prepared in advance and available for the clinician

Communicate both verbally and in writing with external organisations

Provide direct support/ administrative service for the team, which can involve handling sensitive patient information, always maintaining confidentiality

Triage calls from parents and other professionals recording and escalating these calls as appropriate

Scanning of results and clinical correspondence

To provide clerical support to the Governance & Quality Team

To support in updating the W&C microsite for both Obstetrics & Gynaecology and Paediatrics & Neonates ensuring all information is available and up to date including patient information leaflets

To provide clerical support to clinicians ensuring all guidelines, standard operating procedures are in the correct formats before uploading to the appropriate microsites

Triage of telephone enquiries

To support in the maintenance of databases to track all guidelines, standard operating procedures and policies are up to date and available to all who require

To provide administrative support to the Division

To undertake any other duties deemed appropriate by the management team

The Trust is committed to safeguarding and promoting the welfare of children, young people and vulnerable adults and expects all staff and volunteers to share this commitment and promote safeguarding by implementing the Trusts policies and procedures, acting promptly on concerns, communicating effectively and sharing information appropriately.

If successful this vacancy will require a Standard DBS check at a cost of £26.90. This cost will be deducted from your first Trust salary

In addition to this it will be a condition of your employment that you will join the DBS update service and pay the annual subscription fee of £16.
