Job summary
This is an exciting opportunity to join a dynamic Learning and Education team. The main duties are to provide reception & administrative support for the smooth running of a busy Learning & Education Centre. The right candidate will have to demonstrate outstanding customer service, accuracy & attention to detail. To be flexible in responding to the requirements of the role on a daily basis. The role will provide opportunities to gain practical experience and skills whilst working as a member of a team and achieving nationally recognised qualifications as part of the Apprenticeship framework in Business Administration level 3. The apprenticeship Scheme is run in conjunction with a training provider to ensure that you are supported through a high quality training programme for a 15 month placement. You will be employed on a fixed term contract and are expected to complete the apprenticeship qualification within this time period.

There is an eligibility criteria for the government funded apprenticeship schemes that apply and therefore applicants must be aged 16 and above, have been resident in the UK/UE for the last 3 years, must not possess a Degree, Level 4 qualification or above or already be in any form of formal government funded education.

Main Duties and Responsibilities
Reception & Front of House
Be the first point of contact for visitors to the building, providing information & directions, meet and greet.
- Answer enquiries via phone, email, or face to face in relation to training bookings, rooms, and the wider Learning & Education service for the Trust.
- Set up rooms for larger events, including Corporate Welcome, on a regular basis and be able to problem solve and work on own initiative during this set up.
- Assist users of the building with PowerPoint presentations, saving into folders and displaying accordingly using the projectors.
- Unlocking or locking Pinewood House as needed on rota basis.
Training Administration
Champion completion of Mandatory & Role Specific Training across the Trust during day-to-day duties
- Use a variety of methods of communication: phone, face to face, email, Twitter, Facebook to promote training opportunities & Learning & Education events.
- Identify non-attendance on training courses and liaise with Line Managers & Trainers to ensure correct processes are followed when this occurs.
- Book & register learners onto the training database (OLM), contacting delegates, updating attendance on OLM and filing course registers.
- To assist with the administration of training databases, and room bookings using Excel, ensuring a high standard of accuracy with data input.
- Typing and administration of correspondence and documents using Microsoft Word/Outlook.
- Creating reports within Business Intelligence and running ad-hoc reports for departments upon request. Manipulating/summarising/filtering the data in Excel if required.
- Inputting and updating competencies on Learner Profiles within OLM.
- Liaise with educators to ensure all registers of attendance are submitted to Training by month end deadline.
- Support educators with printing to allow smooth delivery of training.
- Facilitate the smooth running of Corporate Welcome for the Trusts new starter
