Job summary

To ensure the provision of full secretarial support to the Business Group Director's PA and Administration Team as necessary, including triage of telephone enquiries, maintaining databases, filing, photocopying, typing of letters and reports and assisting with arranging meetings.

Main duties of the job

We are looking for an experienced administrator who can support the Women and Children's Division.

You will need to have excellent IT skills and a good working knowledge of Microsoft Office applications in order to provide administrative and secretarial support to the department.

You will be an excellent communicator. You will need to demonstrate a proven record of developing positive relationships with a wide variety of people from different backgrounds.

As part of this small team you will need to have excellent organisational skills, the ability to communicate a range of information to a wide variety of people and have a flexible 'can do' approach to work.

Job description

Job responsibilities

  • Act as a primary point of contact for all enquiries using initiative, diplomacy and sensitivity.
  • Screening all calls, recording messages where appropriate and ensuring all urgent matters are dealt with promptly.
  • To work flexibly as a member of the team and to conduct and complete work generated by managers in a timely manner.
  • To have awareness of all services offered by the business group and their functions to help efficient working with the various teams.
  • Arranging of meetings and the taking minutes for sub group meetings.
  • Input attendance and absence for the Divisional Admin and Divisional Management Teams on the Trust Healthroster System. Supporting the PA in the management of the associated timesheets which Teams need to complete.
  • Record and electronically copy and submit approved PTO2 External Training Applications Forms to the appropriate Training Team.
  • Ordering of Stationery and or entering non stock requisitions on the Trust Unit 4 System.
  • Travel Booking of train tickets and accommodation using the Trust approved system.
