Job summary
The Dermatology Department has a vacancy for a part-time experienced Medical Secretary to work as part of the Dermatology team at Watford General Hospital. Experienced and committed, you will provide an efficient and comprehensive secretarial service to the Consultants and multi-disciplinary team.
The successful applicant will need to have a good general level of education with formal secretarial qualifications or at least two years' experience of working as a Medical Secretary and possess the essential qualifications outlined in the attached Person Specification.

Main duties of the job

- To act as personal secretary to one or more of the Dermatology Consultants, liaising on a day to day basis and prioritising own work load.
- Typing of clinic letters, using Cerner database, discharge summaries and admin letters from tapes or dictation or written copy as required. Letters can sometimes contain distressing circumstances. Letters are in a pooled system and typed in date / priority order.
- Pathology and blood results should be actioned and filed appropriately daily, making sure urgent results are shown to Consultant as soon as possible, where this is not possible, this will need to be escalated to the Office Manager.
- Ensure that laboratory results, X-rays, letters and other records are filed accurately.
- To keep Consultant's diary and arrange meetings when required.

- To deal sympathetically and confidentially, via telephone enquiries or face to face, with patients, GPs, medical staff, nursing staff and hospital departments etc. Queries can occasionally be distressing / emotional circumstances.
- To liaise with the Central Booking Office with regard to making outpatient appointments.
- To order stationery when required and maintain a good level of stock in the department.
- To arrange for cancellation of Consultants clinics for annual leave, study leave etc via BookWise. To re-arrange appointments with patients via telephone or letter.
- To deal with all the Consultants correspondence and business matters including telephone calls, e-mails and organisation of diary as requested
- To make sure photographs are filed in patients notes and sent to patient when requested
- General office procedures commensurate with a secretarial post, including photocopying, filing, sending and sorting post, sending e-mails and creating and maintaining spreadsheets
- To respond to e-mails / queries in a timing manner
- To assist other secretaries in the Department with workload when required
- To take direction from the Office Manager and escalate any areas of concern.
