Divisional Governance Administrator

Job summary
This role will provide clerical and administration support to one of 3 Heads of Divisional Governance roles and provide cross cover to Divisional Governance Administrators as required. They will support the effective administration of all training and implemented clinical governance meetings for their respective areas. The post-holder will ensure appropriate venues and resources are available. They will arrange meetings such as Divisional and Directorate governance meetings, cross cover for Patient Safety Incident Review Group (PSIRG) and Trust Learning Panel for respective Division, collating papers as per each meeting's agenda, take minutes and actions, and share these with attendees ensuring these are arranged in appropriate timescales. They will be responsible for ordering relevant resources via integra and the booking of meeting rooms / MS Team slots as required. They will work closely with their respective Head of Divisional Governance to ensure the smooth and effective running of all divisional governance meetings and processes.

Main duties of the job
Liaise with internal and external stakeholders as appropriate to arrange training designed by the Head of Divisional Governance
Deal with day to day enquires made by members of staff and external members of the public or stakeholders related to governance
Manage the generic divisional governance email accounts
Manage the upkeep of divisional and directorate distribution lists for all key clinical governance matters and processes
Provide administrative support for arranging and delivering events as led by the divisional heads of governance
Support with the distribution of clinical governance resources for directorate leads
Make appointments and manage the diary of the head of Divisional Governance
Support in maintaining relevant databases
Update the Trusts Risk Management software utilising data entry skills for any updates provided by directorate and local leads
Liaise with external staff regarding meetings
Distribute material across the trust that publicises divisional clinical governance activities
To support and update any relevant databases and the Digital Quality Management system as required
Requirement to apply judgement and analyse a range of situations to compare possible routes of action. Must assess a situation and determine what next steps to take, out of a range of possible options
