We are looking for an enthusiastic, hardworking and highly motivated administrator to join our experienced and dynamic research management team to work in the Research space team, as,part of NIHR Leicester CRF based at the Leicester Royal Infirmary to support our growing portfolio of clinical trials.
You will often be the first point of contact within the Research Admin team, so it is vital that you are both welcoming and professional in your approach to all.You must have a good standard of general education, be a good, clear communicator and be confident and calm in all situations. Experience of working in the NHS and knowledge of UHL systems will be a distinct advantage, although training will be available.
The NIHR UKCRF Leicester works in collaboration with NHS, the National Institute for Health Research (NIHR), University Hospitals of Leicester NHS Trust, and is academically affiliated with the University of Leicester. The centre has attracted a range of prestigious National Institute of Health Research (NIHR) funded infrastructure and other funding notably from the British Heart Foundation, European Union, Medical Research Council and Diabetes UK. The centre also hosts a local NIHR Applied Research Collaboration (ARC), and NIHR BRC (Biomedical Research Centre) theme in Diet, Lifestyle and Physical Activity, NIHR Leicester Diabetes Centre and (NIHR)-funded Patient Recruitment Centre (PRC) for commercial research.
Main duties of the job
The post holder will work alongside other administrators to provide support to the Trial Managers/Coordinators and Research Nurses in all aspects of research project administration and will provide general administration services to assist with the efficient running of the Research Space Admin office.
The role involves tasks such as data entry, mail box management, arranging meetings, booking rooms, minute taking, site file management, contacting patients to arrange appointments, producing appointment/results letters, ordering of supplies, logging of all study expenditure and archiving.

- To act as receptionist / first point of contact for the Department, deal with routine and specialist enquiries in a pleasant and helpful manner, communicate relevant information and refer to others in the department as appropriate.
- Answer telephone calls, handle general enquiries and refer callers to the appropriate individual, departments or hospitals.
- To accurately utilise and produce word documents, produce power point presentations; excel spreadsheets and administration as required.
- Utilise online systems for appointments/ meetings and room bookings.
- To process routine enquires and correspondence in a timely and accurate manner, including drafting response letters, under the guidance of designated members of the management team.
- To enter details from case report forms, questionnaires, etc onto the research management databases in order to collate statistics for reports.
- Responsible for the organisation, co-ordination of meetings, including minutes, liaising with internal staff at all levels and external bodies as appropriate and working cross site as required.
- Arrange meetings on behalf of a study team, Principal Investigator and organise research participant appointments and transport.
- Manage and maintain an efficient filing system including finances, both manual and computer based.
- To manage and deal effectively with all incoming post, invoices, e-mails and personal enquiries using initiative and knowledge to determine the necessary involvement.
- To always produce a high standard of work, when working under pressure, in order to meet deadlines.
- To liaise with all levels of staff to ensure effective communication is maintained.
- Flexible in approach to work- You may be required to work in other designated locations of the Trust as well as your primary base. In particular, flexibility is required across the three main hospital sites (Leicester Royal Infirmary, Leicester General Hospital and Glenfield Hospital). If your initial location is one of these sites excess travel reimbursement would not apply for a permanent or temporary change of base.
