Job summary
The postholder will work as a dedicated administrator for the National Joint Registry (NJR) for the University Hospitals of Leicester.
In addition, the post holder will be expected to support the Leicester Arthroplasty Remote Clinic (LARC) Service providing a high standard of clerical and administrative duties and tasks, including scanning, filing, and answering telephone queries related to that role. They will also assist and support the LARC Lead Administrator in maintaining spreadsheets and electronic databases of highly confidential patient data
Main duties of the job
- To provide a range of administrative support for the National Joint Registry, the LARC Service and wider department, including the Team Lead and Head of Department.
- To liaise with all levels of staff to ensure effective communication is maintained.
- Liaise with NJR regional managers and coordinator's to answer queries and assist in audits.
- Plan own time effectively to support additional administrative projects as and when required by the LARC service and wider department.

Job responsibilities
- To collect mandatory NJR data forms, relating to total hip and knee replacement surgery, chase missing forms, and obtain missing information before entering forms to the nationwide NJR system to ensure 100% data collection for the trust.
- Maintain patient records and support the preparation of patient facing documentation.
- Have working knowledge of all NJR and LARC administrative procedures and systems to allow task-related problem solving, with the ability to perform a range of routine work procedures for the NJR and LARC services, ensuring that all paper records are electronically scanned, and the physical paper is filed/archived in an organised and accessible way.Perform accurate data entry to the NJR system and assist in preparation of regular mailings to patients in line with the target deadlines.
- Be responsible for radiology referral and review administration, preparing documentation and chasing progress of reviews to speed up patient outcomes, processing documents as required
- Manage, scrutinise, and prioritise all incoming and outgoing correspondence always ensuring confidentiality.
- Complete inbound and outbound mail processing to meet the agreed target deadlines with a high level of data entry accuracy and speed.
- Assist with data processing, cleaning, and updating databases.
- Assist with arrangements for the clinical team and organisation of teleconferences.
- Initiate email responses on behalf of the LARC Lead Administrator and Team Lead using own initiative and judgement whilst ensuring accurate and timely dispatch of information to other parts of the Trust.
