We are looking for an enthusiastic and motivated individual to be part of the Cardiology Appointments team.This is a varied and interesting role where you you willbe responsible for referrals to the Cardiology service including make new and follow up appointments. Team working is most important in this role but you will also be required to work independently on occasions.
We are a team that strive to provide the highest quality of patient care which is made possible by the hard work of our admin team working alongside amazing and dedicated nursing & clinical teams to run our clinics.
Experience in HISS Patient System would also be desirable but not essential as we will provide training for this.

Main duties of the job
The post holder will be responsible for ensuring the effective day to day administration and co-ordination of clerical procedures concerning out-patient clinics in the Specialty in line with National Policy and locally agreed guidelines. Specifically, the post holder will ensure that the departmental systems and Clinical Management Group wide working practices involving the management of outpatients keeps pace with organisational development activities.

Job responsibilities
- To receive referrals and make new and follow up appointments
- To be responsible for giving out referrals to relevant consultants for triaging including associated diagnostic results and arranging investigations for patients
- To add patients to and book from appropriate waiting lists
- To be aware of any overseas visitor or private patients that are referred and notifying relevant departments.
- To ensure all local and national standards are applied to referrals and are in line with RTT, national targets and the UHL Elective Care Access Policy. This includes date stamping documents, reviewing and checking referrals to ensure data quality and booking requirements
- To proactively source missing data on the patients record on the patient administration systems
- To check, extract from, record and update the relevant patient administration systems
- To ensure full utilisation of clinic slots available
- Deal with queries and enquiries regarding appointments and utilisation of 2 way text systems
- Liaise with patient pathway coordinators, medical secretaries and clinical staff in connection with arranging and/or changing appointments
- Liaise with clinicians regarding availability for clinics and make appropriate scheduling decisions, referring where necessary.
- Monitor, manage and report clinic cancellations, including notice time given and utilisation of clinic time available
- Provide training and support to other staff regarding patient administration systems
- As directed by the Team Leader, maintain clinic scheduling on patient administration systems, e.g. cancellation of clinics, setting up of new templates and clinics and management of doctor templates
- Ensure that all processes and procedures are complied with and compliance is maintained with regulators and internal requirements
- Accurate RTT recording for patient pathways including transferring and linking pathways.
