The Partnerships Team are looking for an enthusiastic and meticulous team member to join us, contributing to our support of Clinical Management Groups in identifying and realising potential business opportunities by supporting the tender bidding process. The role will include supporting our team with project and office management along with supporting our partnership work. You will most likely come from a professional support environment, working as an executive assistant, office manager, project support officer or senior administrator.
Our ideal candidate will have a broad skill set reflecting the varied work undertaken by the Strategy and Partnerships Team. We are looking for a candidate with experience of supporting project management. Co-ordinating the end-to-end tenders process is desirable but not essential. The ideal candidate will need to be adaptable and able to take initiative in supporting the work with our broad range of partners.
Main duties of the job

The Support Officer is required to provide leadership, direction, and support to other members of the team, whilst developing effective working relationships, efficient practices and a motivated workforce.

The Support Officer further functions as the expert resource and as a point of contact and on-going liaison for internal and external parties on matters relating to the Strategy and Partnerships Directorate.

Working with the Strategy and Partnerships Managers, the Support Officer will identify and coordinate multiple commercial bids and business cases aligned to the Trust's strategic direction.

Lead and support with projects within the Strategy and Partnerships team including tender bidding support (training provided).
-
The Support Officer will also provide support to programmes of work that directly supports the Trust, enabling delivery of the strategic and operational objectives, within available resources.

Take formal minutes/action notes for designated meetings including writing agendas, co-ordinating papers and keeping action logs.

Other responsibilities will include monitoring and compliancy with e.g., sickness absence, helm e-Learning.

Create and maintain a Tenders Project Tracker ensuring all CMGs and members of the Strategy and Partnership directorate are kept up to date.

Work under own initiative to resolve issues and manage work load requirements, be self-motivated and proactively seek and resolve difficulties.

To be the first point of contact first for internal and external parties for all matters relating to the Strategy and Partnerships Directorate and aim to resolve issues whenever possible and when required direct queries to other staff in a timely manner.

Summarise key messages for Board and Committee meetings and circulate to team on a weekly basis.

Author delegated papers and coordinates the agenda and other papers for the Strategic and Partnership Directorate and other Programme Boards as necessary. Papers will require the post holder to gather data from multiple sources and manipulate/interpret the data to present information in an accessible format to a multidisciplinary audience. Take action for designated project meetings.

Prepare and circulate monthly Strategy and Partnership papers to all CMG.

Attend internal and external meetings as required, take responsibility for appropriate actions and report back formally to the relevant member(s) of the team.

Support the identification, prioritisation and progression of partnership and business opportunities aligned with the Trusts objectives and CMG plans, facilitating agreement and co-operation from others.

Where designated, to lead on tender responses, ensuring high standard tender responses where risks are managed, value for money is realised and are deliverable.

In conjunction with senior team within strategy, and the Heads of Operations and Clinical Directors within CMGs, develop and agree project plans with clear timelines, objectives, deliverables and outcome measures.

Produce reports demonstrating projects progress in accordance with the agreed project plan, delivered on time and to budget.
