Job summary

Leicester Haemodialysis Unit at Leicester General Hospital.

Band 2 Ward Clerk -full time

The Leicester General Haemodialysis unit is looking for someone who would like to join the Haemodialysis unit ward clerk team, and also willing to move and work with the team to the new Haemodialysis Unit site in South Wigston. The role requires the successful applicant to work early and late shifts and also willing to work Saturdays

You will need to be friendly and approachable with excellent communication and organisational skills and with the ability to demonstrate effective team work. We are a busy unit with 174 patients who regularly attend in an out patients capacity. You will work together with other ward clerk in this area. The applicant should be computer literate and have the ability to work in a confidential manner.

You will be required to work on your own as well as being part of a team and being able to respond to changing priorities. Previous experience within a healthcare setting would be desirable but not essential.

Organising inbound and outbound transport of haemodialysis patients is one of the main job for this post. You are required to be able to prioritise workload, good time keeping and a polite courteous telephone manner and excellent customer service skills are essential.

Main duties of the job

Undertaking reception duties, dealing with hospital staff, patient, relatives and member of the public in an efficient, polite and courteous manner. Answering queries and communicating complex information where there may be barriers to understanding. Organising the inbound and outbound transport of haemodialysis patients and ensuring patients attend the haemodialysis on time, maintained confidentiality and privacy at all times.

  1. To treat all parents visitors and colleagues with courtesy and respect: maintaining confidentiality at all times.
  2. Answer ward clerk phone and nurses station phone; deal with any problems and queries.
  3. Liaise with all clinic co-ordinators to inform them of all the new patients we receive to make sure they get clinic appointments. Also working with them to change any clinic times/dates to help patients.
  4. Deal with transport every day. Book transport for patients. Check patients transport every day. Deal with any issues that arise. Update addresses, times, contact details and addresses. Liaise with drivers. Escalate any serious incidents. Keep in contact with transport control team.
  5. Help everybody with any issues such as IT problems, transport issues and work related problems as much as we can.
  6. Change thermometers batteries and take broken ones to medical physics.
  7. Take blood forms to pathology and take blood glucose monitors when broken to replace.
  8. Take broken equipment to medical physics and collect any items ordered for the arrest trolley.
  9. Check the Ward Clerk book every morning for the lists of jobs left for us to do. Complete these jobs every morning.
  10. Print off inpatient lists from patient centre and check which of our patients are inpatients. Update the whiteboard and cancel any transport.
  11. Friday MDT changes. Ensuring patients outpatients appointments are dealt with accordingly and transport is changed and they are informed. Any new patients we need to make new patient nursing folders, blue folders, add as a Ward attender on patient centre and add to ICE. Make sure the next weeks allocation is written correctly and amend if not.
  12. Print patient labels and keep the labels folder up to date as well as patient files. Also add labels to new drugs charts.
  13. When staff has a monthly meeting you need to take notes in the staff minuets book and type them up onto a word document to send to all staff.
  14. Send changes of prescriptions letters to patients GPS and file a copy in patients notes.
  15. Put patients requests for changed of slots and appointments in the MDT book.
  16. Keep locker keys organised, allocate them to new staff and keep list of locker keys and numbers updated at all times.
  17. Keep patients ID/ADDRESSES/CONTACT NUMBERS up to date on patients centre and proton. On patients notes and files.
  18. Keep stock of all stationary equipment needed for the ward clerk area and on the unit. Liaise with Julie.A when ordering and needing new stock.
  19. Empty shredding bins from ward clerk station and managers offices into correct shredding bins.
  20. Ensuring all confidential information is kept locked away and out of site.
  21. Take and collect prescriptions to and from pharmacy. Normal scripts to go to Trustmed and drug charts, holiday prescriptions and green slips go to main pharmacy.
  22. PRINTING, keep all documentation up to date and in stock for staff to use. Keep check of stock levels photocopy master copies when needed and get booklets ordered from the print room. Keep these documents in master copy folder and up to date on the MDRIVE.
  23. Add holiday patients to patient centre and proton to provide them with all the hospital numbers that they need.
