Leicester Maternity has an exciting opportunity for an enthusiastic motivated individual to join our maternity admin team. We are looking for motivated individuals to provide high level clerical and administrative support to our busy and fast paced community midwifery teams.

You will play a vital role in supporting our whole team which includes, Community Midwives, Community Team Leads and our brilliant support staff.

We provide antenatal, birth and postnatal care for around 12,000 women and babies every year, across two obstetric units and the community in Leicester, Leicestershire and Rutland.

We have 3 much celebrated birth centres, a homebirth team and a number of specialist clinics, caring for parents and babies with additional needs.

Our organisation has some excellent opportunities including training, development, and progression and flexible working policies. We also offer a number of schemes for staff such as car leasing, cycle to work and IT purchasing.

Bases for this post include COALVILLE, GALLARD HILL/BRAUNSTONE & LOUGHBOROUGH.

NOT BASED AT A HOSPITAL SITE

Main duties of the job

  • You will have previous administration experience and excellent verbal and written communication skills.

  • The role requires flexibility, good organisational skills and good time management.

  • You will be expected to have a good knowledge of how the community midwifery services are delivered and the geographical area of Leicester, Leicestershire and Rutland.

  • A good working knowledge and experience using Microsoft packages is essential but other IT systems such as E3 or patient centre, training will be provided.

  • Answering telephone calls in a timely and professional manner and directing enquires to the appropriate person/s as necessary.

  • To take messages and relay these accurately and promptly.

  • Communicating with women and their families as the first point of contact

  • Cancelling and re booking appointments

  • Stock ordering for your team

  • Attending meetings to support the team leader in admin tasks such as taking minutes, assisting with project work and data entry.

  • Assisting with organising events, such as antenatal classes

Job responsibilities

  • o provide a high quality efficient service for community midwifery staff and service users.

  • To deal with a wide variety of enquiries that are directed through the office from women and community midwives.

  • To use own initiative prioritising and completing tasks. Develop and enhance communication links between hospital sites, community midwifery services and patients.

  • This will require an in-depth knowledge of midwifery practices and close working relationships with community staff.

  • Input community activity statistics onto the Euroking database in line with audit policies for the directorate/ track all outstanding audit forms using a database and follow up to ensure audit information is received appropriately.

  • Responsible for typing, checking and disseminating the community midwifery on-call rota. Ensure on-call rota is distributed to appropriate areas within and outside the directorate, including ambulance control. Highlight any shortfalls in the rota, making amendments accurately and communicating the changes promptly to all affected parties.

  • To receive calls for sickness/absence from the community midwives recording the information in the sickness diary. Send out a self-certification certificate to individual midwives on receipt of sickness/absence call.

  • Opening incoming mail and dealing with routine enquiries, disseminating post as appropriate in an efficient manor.

  • Perform general office duties such as faxing, photocopying and filing in accordance with existing systems.

The main hours within this role would ideally be 08.30-16.30 but there is some flexibility in that.
