An exciting opportunity has arisen for a highly organised and enthusiastic individual who is competent and motivated to join our Neonatal Department at Leicester Royal Infirmary as a Junior Medical Staffing Administrator within the W&C JDA team.
Main duties of the job
The successful candidate will have excellent administrative and organization skills, and will be responsible for managing the departmental rota's and you will be the first point of contact for our junior doctors. The post holder will work closely with the Rota lead consultant and Junior Doctors, developing the on-call rota and maintaining on a daily basis.
You will be able to work to tight deadlines, prioritizing your workload and developing key working relationships with a wide range of stakeholders; including Consultants, Nursing teams and Admin staff. As a successful candidate, you will have excellent verbal and written communication skills, excellent IT skills and can apply real attention to detail to produce accurate correspondence and effectively communicate complex information. Previous experience with rota coordination, working in a Workforce Department or working with senior medical staff and Doctors is desirable although not essential.

The Junior Medical Staffing Administrator is accountable to the Senior Medical Staffing Administrator and the General Manager and will ensure delivery of high quality patient care services and staff services with the resources available while effectively and efficiently managing the junior doctor workforce.
- Deliver a quality administrative support service for the Junior doctors ensuring compliance with local, regional and national targets, policies and initiatives. In particular, to implement and ensure services are delivered in line with GMC policies and HR processes.
- To ensure alternate cover arrangements have been made in the event of staff absences and potential changes have been communicated to all the relevant people.
- Maintain and manage an accurate record of Medical Staffs annual leave/ special leave/study leave/sick leave, ensuring appropriate authorization is given and highlighting any potential/actual difficulties and the necessary steps need to be taken to ensure adequate cover for service delivery.
- To Maintain and manage sickness absence via the SMART On-line system for all medical staff and produce reports when requested. Record sickness when on call and highlight any issues to relevant supervising consultant. Predict vacancies and absences and co-ordinate resignations and maternity/paternity leave
- Check all incoming claims and invoices for accuracy and monitor locum expenditure. Record and submit all invoices to payroll with correct budget code according to specialty.
- Lead on recruitment managing the rotation of junior doctors into and out of the departments. Liaise with the Deanery and HR Services about vacancies and appointments ensuring safe and appropriate staffing numbers at all times.
- Support the management of the Junior Doctors Local Induction every 4 month rotation. This includes ensuring the team have the venue and speakers arranged and have completed all the Induction
- Ensure mandatory Training records, contact information are completed within UHL Policy frame work
- Any other duties as reasonably required by the management
