Job summary

An exciting opportunity has arisen for a substantive appointment as an administrator at United Lincolnshire Hospital NHS Trust, Pilgrim Hospital. Applications are invited from dynamic, enthusiastic and forward thinking individuals who are looking to showcase their potential.

You will be working as part of a team responsible for the administration and rotas within the Grantham Hospital Accident and Emergency Department and helping to deliver safe and effective services.

Main duties of the job

  • Patient administration underpins the patient journey and supports clinical teams in delivering high quality patient care and it can make a real difference to the patient experience. Effective and efficient patient administration supports management through ensuring a high standard of data qulaity and by making the best use of capacity and resources. The A&E Administrator is a vital part of the effective functioning of the A&E Emergency Department.The A&E Administrator:
  • Provides a comprehensive secretarial and administrative service to medical and senior nursing staff in the department.
  • Maintains and helps in the management of A&E medical rotas and covering of gaps
  • Maintains a record of any additional duties undertaken by both internal and agency Doctors
  • Actively participates in achieving the national and locally agreed targets including CQUIN
  • Organises and supports teaching and audit programmes
  • Organises new starters and trainee Doctor induction programmes and appraisals
  • Administers the complaints process within the department.

Job description

Job responsibilities

  • Typing, distribution and maintenance of the A&E Doctors rotas
  • Actively manage rota to cover gaps within existing resources wherever possible. When this is not an possible to liaise with Business Unit regarding rota gaps and booking of locums.
  • Deal with urgent and routine correspondence and tasks in accordance with agreed practice and CQUIN standards including typing of letters, medical reports, references, rotas and general correspondence including administration when necessary. minutes of committees/meetings attended by their Consultants.
  • Deal with enquiries by letter/email/telephone from patients, GP's other hospitals.
  • Logging medical staff sickness on the absence monitoring system and arranging return to work interviews for medical staff.
  • Draw to the attention of the medical staff all results and take further action in accordance with the consultants or medical medical staff teams instructions, including (in agreement with the consultant) informing patients of negative results and future plans for their treatment.
  • By maintaining a close liaison with GP's and other medical staff, initiate action based on acquired experience, independent judgement and initiative to resolve queries raised by patients, relative or general practitioner, often of a non-routine and sensitive nature, concerning patients treatment.
  • Provide secretarial support for patients seen in Emergency Department to the CBU, Consultants and Sister and provide diary management.
  • Provide and assist in the provision of data for medical/CEM audits and any other statutory requirements for data collection.
  • Ensure all e-learning certificates are up to date for the medical team.
  • Prepare induction programme and send out with rota to new Drs
  • Provide secretarial support for Consultants managing their diaries, arranging meetings, appointments, annual leave, study leave etc.
  • The ability and commitment to work as a team member adhering to strict deadlines.
  • Ensure attendance at mandatory updates and general adherence to Trust Health and Safety policies and procedures.
