Job summary
We are looking for a highly organised and self-motivated individual to join the Office of the Chief Executive. This dynamic and fast-paced role will offer excellent training and development opportunities.
In this role, you will provide administrative support to the Chief Executive, primarily based in Worthing. Your initiative will be key in managing priorities, building strong professional relationships and delivering outstanding customer service. As the Team Administrator, you will require a keen eye for detail and exceptional communication skills. You will play a vital role in ensuring the smooth operation of the Office of the Chief Executive, working under the guidance of the Senior Business Manager to provide a comprehensive, high-quality and confidential administration service.
We are seeking a proactive team member with excellent problem-solving skills, who can act with confidence and discretion, support decision-making, and step in with delegated authority when needed. You will take ownership of meeting administration, diary management, and the shared mailbox, while collaborating closely with other teams including the wider Executive Support Team.

Please note that this role necessitates being in the office for four out of five days per week, with working hours from 09:00 to 17:00, Monday to Friday.

Main duties of the job
Management of the diary of the CEO, making decisions about priorities and balancing conflicting requests. Booking venues, refreshments, equipment, and car parking spaces, setting up rooms and preparing PowerPoint presentations.
Providing administrative support for internal and external meetings and events, including administration, maintaining a register of attendees, preparing delegate packs and attending events to be on the registration desk.
To answer and deal with in a confidential manner all email and telephone enquiries, providing an accurate message service and taking appropriate follow up action.
Providing cover in the absence of the other administrative staff.
Being initiative-taking in organising and prioritising workload, managing own time effectively, highlighting problems as they arise and proposing workable solutions within available resources.
To meet and greet visitors, providing a welcoming environment and offering refreshments considering any special dietary requirements.
To manage the office environment, maintaining exacting standards, efficiency and professionalism always contributing to a healthy and safe working environment by adhering to health and safety regulations at trust policies.
To maintain a professional and highly confidential approach to all work conducted for the Trust.
To undertake any other duties at the request of the Business Manager which are commensurate with the role.
