Job summary

We have an exciting opportunity for a permanent admin and clerical member of staff to join Mersey Care Foundation Trust.

The post is for 20 hours and the successful candidate will be based at Churchtown Community Clinic however depending on service need they might be asked to work within our community clinics across the Southport and Formby area.

Main duties of the job

The successful candidate will be required to possess good knowledge of verbal and written communication skills, in order to liaise with Service Users on a daily basis and with a wide range of staff both internal and external to take messages, deal with enquiries and pass on accurate information.

The successful candidate will also deal with all forms of communication, e.g. letters, memos, emails, and telephone calls. You will need to have the ability to work independently and as part of a team.

The successful applicant will need to have knowledge of office procedures and be familiar with Microsoft Office, previous experience of working in an office environment, data input skills and the ability to priorities own workload and work to defined timescales; previous experience within a health care environment would be desirable.

You will be responsible in your role to book appointments and any associated data entry including the retrieval and maintenance of patient records.

Job responsibilities

  • Act as first point of contact for all telephone and receptionenquiries, ensuring that messages are forwarded to theappropriate persons and visitors are welcomed to thedepartment.
  • Provide an effective clerical service to support the team,including photocopying, typing, data input, and maintenance ofan effective filing and retrieval system.
  • Attending patients, including rescheduling and reappointing when required on the Trust IT system.
  • Effective liaison with multi-disciplinary staff/patients/carers/ outside agencies ensuring communication of accurate, sensitive and complex and confidential information as and when required.
  • Ensure appropriate records are maintained and updated in line with Trust Procedures.
  • Contribute to the ordering of stationery supplies and associated procedures
  • Responsible for the processing of all incoming and outgoing mail as directed by Line Manager.
  • Participate in the provision of cover and support to colleagues as required. To work in a flexible manner when cover is required Borough Wide.
