Job summary

The Band 2 Receptionist / Clerical Officer will provide a high-quality, patient-focused administrative and reception service to the North West Ventilation Unit based at Wythenshawe Hospital.

The post holder will be the first point of contact for patients, carers, and healthcare professionals accessing the service, ensuring a welcoming, professional and efficient experience. Working as part of a multidisciplinary respiratory team, the role will support the smooth day-to-day running of the unit through effective reception duties, appointment coordination, data entry, and general administrative support.

This role requires excellent communication skills, attention to detail, and the ability to work sensitively with patients who may have complex respiratory conditions. The successful candidate will demonstrate strong organisational skills, a compassionate approach, and a commitment to delivering high standards of customer service in line with NHS values.

Main duties of the job

The post holder will:

  • Provide a professional and welcoming reception service for patients, relatives, carers and visitors attending the North West Ventilation Unit at Wythenshawe Hospital.

  • Act as the first point of contact, responding to telephone, email and face-to-face enquiries in a courteous and efficient manner.

  • Book, amend and cancel patient appointments in line with service protocols, ensuring clinic templates are utilised effectively.

  • Register patient attendances and accurately update demographic and clinical information on Trust IT systems.

  • Prepare clinic lists, patient documentation and correspondence to support clinical activity.

  • File, scan and upload documents to electronic patient records in accordance with Trust policies and data protection requirements.

  • Manage incoming and outgoing post, distributing information appropriately and in a timely manner.

  • Support the clinical team with general administrative duties to ensure the smooth running of outpatient and ventilation clinics.

  • Escalate urgent queries or concerns to senior administrative staff or clinical colleagues as appropriate.

  • Maintain confidentiality at all times in line with GDPR and NHS information governance standards.

  • Contribute to maintaining a clean, organised and safe reception and office environment.

  • Work flexibly as part of the wider administrative team, providing cross-cover where required.

  • o Good general education (e.g. GCSE or equivalent, including English and Maths)
  • o Basic IT literacy (e.g. Microsoft Office or equivalent systems)

  • o ECDL, NVQ in Business Administration, or equivalent qualification.

Experience
