Ward A4 is a busy General Surgery ward with Medical Outliers. The Admin Assistant will play a vital role in supporting the smooth operation of a busy outpatient service. Responsibilities will include greeting and assisting patients, managing appointment schedules, handling telephone inquiries, and ensuring accurate patient records are maintained. The role requires strong organizational and communication skills, as well as the ability to multitask in a fast-paced environment. The successful candidate will be expected to provide excellent customer service, ensure a positive patient experience, and work closely with clinical and administrative teams to ensure efficient service delivery.
Main duties of the job
The Admin Assistant will be responsible for accurately recording patient details and activities, including appointments, discharges and additions to the waiting list, using the Trust systems in line with the Trust Patient Access Policy and data quality standards. The post holder will provide a telephone service, managing incoming calls, relaying queries and messages, and liaising with other departments and external organizations when necessary. Using the HIVE Electronic Patient Record, the post holder will assist patients with the MyMFT app, supporting appointment scheduling via MyMFT, and monitoring electronic messages from MyMFT patients to the clinical teams.
In addition, the Admin Assistant will handle requests for other services, such as patient transport, interpretation services, porters, and diagnostic tests, ensuring compliance with Trust deadlines. The post holder will participate in clinic preparations and will contribute to general administrative and secretarial duties. The role also involves maintaining work queues, managing appointment cancellations and rebookings, and escalating issues or complaints to the manager or team leader as needed. Other responsibilities include maintaining patient information literature, managing mail, retrieving and storing files, and ensuring stock levels are adequate while adhering to Accessible Information standards.
