Job summary

Clerical Assistant for clerical and administrative duties within 2 very busy clinics. The Rapid Access Chest Pain Clinic and Valve Surveillance Clinics, these are both Nurse led clinics.

We are looking to recruit a clerical assistant who is highly motivated with excellent organisational, interpersonal and communication skills to assist the teams in providing high quality, safe patient care through the delivery of efficient and responsive clerical service which meets the needs of the service.

You will need to work confidently with colleagues and patients both face to face and over the telephone, as well as working effectively as part of the team. It is essential to have effective time management and a flexible approach to working. You will need to use your own initiative, showing attention to detail and have the ability to work accurately.

To provide clerical support for both clinics, open mail, manage referrals and create appointments, collect results and distribute to requesters, to process patient and GP letters. Ability to manage phone calls and problem solve or refer onto a team member as appropriate.

Main duties of the job

  1. Sorting and distribution of incoming mail both electronic and paper form, ensuring all supporting documentation i.e. notes, x-rays and results are available for the clinical staff to review.
  2. Routine processing of letters, reports and materials ensuring Trust and departmental deadlines are met.
  3. Ensuring urgent matters are brought to the attention of the appropriate person in a timely fashion reporting any problems or issues to senior staff and seeking clarification if unsure of procedure/s.
  4. Responsible for the timely processing of referrals, involving the prioritising by medical staff and ensuring that the 2/52 discharge follow up target is met where appropriate.
  5. Arranging urgent admissions, ensuring all appropriate records are available.
  6. Arranging investigation/appointments within the Trust and outside as and when required.
  7. The post-holder would be expected to demonstrate office procedures to new staff.
  8. The post-holder would be expected to commit to on the job learning, where necessary i.e. expansion of medical terminology knowledge, relevant policies and procedures.
  9. Liaising with GP's regarding referrals/results to ensure that the minimum data set is recorded on HIVE.
