Job summary

An exciting opportunity has arisen to join Manchester University Hospitals NHS Foundation Trust as a Digital Portfolio Office Administrator.

The Digital Portfolio Office Administrator post sits within the Digital Portfolio Office team and is part of the Group Informatics Digital Strategy, Portfolio and Governance function. The purpose of this role is to provide effective portfolio office administration across a range of topics as part of the Digital Portfolio Office service model.

This will include administrative tasks and support to a range of portfolio activities including demand management, portfolio evaluation, prioritisation and scheduling, portfolio risk and benefits management, financial controls, workforce/staffing, communication, governance, and reporting; all with the aim of facilitating an effective and efficient portfolio office service.

Main duties of the job

Provision of a timely and effective administrative support across the range Digital Portfolio Office services which contributes to the efficient operation of the Digital Strategy, Portfolio & Governance department. Able to plan and organise tasks to deliver against priorities and can respond efficiently to adjustments in requirements.

Responsible for supporting the creation, consolidation and administration of high quality and timely reports and governance packs in relation to Digital Portfolio Office services. Establish and maintain documentation repository with appropriate configuration management to protect the integrity of such artefacts.

Effective coordination of and support to Digital Portfolio Office meetings and events, including scheduling / diary management, coordinating inputs and pre-reads, coordinating outputs and the accurate capture and proactive taking Minutes and proactive tracking of Decisions and Actions updates (e.g. meeting such as Portfolio Assurance Group, Portfolio Planning and Working Group, Group Informatics Portfolio Board).

  • GCSE's - Grade A-C or equivalent experience
  • Demonstrable evidence of working within a complex organisational environment involving project / programme / portfolio / business support work (e.g., PMO/Business Office/OCIO)
  • Experience of problem solving, quickly identifying and implementing solutions.
