Job summary

The North West Genomic Laboratory Hub (GLH) is one of a network of seven GLHs across the country, which together forms the new national Genomic Medicine Service. Each GLH is responsible for coordinating services for a particular part of the country

The Office Administrator is responsible for ensuring aspects of administrative and secretarial support is provided to members of the NW GLH. This includes maintenance of office, organisation of meetings, office administration, travel arrangements, minute taking and invoicing and ordering procedures.

Reporting to the Office manager the post holder will be responsible for their workload and will be able to work without direct supervision

Staff will be expected to participate in a 6-day working rota to cover Saturdays and some Bank Holidays with time off in lieu. This will be implemented from April 2022.

Main duties of the job

To receive all calls and enquiries on behalf of the NW GLH and, using initiative, deal with matters where possible, or otherwise take messages and redirect calls as appropriate .

To be familiar with and help NWGLH staff deliver NWGLH and NHSE higher level objectives across all partner organisations.

To be fluent in the data management systems in order to help collate and analyse data for reports and presentations, to up/download documents between systems and update records when activities take place.

To produce Laboratory invoices; ensuring all billable reports and tests are invoiced in a timely manner, liaising with the trust Finance department for billing and outside organisations regarding queries.

Organise internal and external meetings ensure smooth running of meetings by the production and distribution of agendas and papers as required by the Senior Management Team and the taking of accurate and concise minutes.

It is expected the post holder will take action on relevant matters and / or follow up as necessary.

Responsible for using the NHS Procurement system to receipt incoming orders, organise purchase orders/call off orders for payments on behalf of the Laboratory and the Clinical Genetics Department.

Dealing with all enquiries regarding department requisitions, purchase orders and payment.
