Job summary
Would you like to join our friendly and welcoming team, supporting children and families? We are looking for a motivated and dynamic administrator for permanent full-time hours, worked Monday-Friday 9:00am to 5:00pm. The role is based at Civic Offices in Portsmouth, although the ability to travel to other sites if necessary is desirable. Free parking is currently available.
The successful applicant will carry out a range of administration duties, which may include referrals, reports, uploading onto the clinical system, SystmOne, as well as other general administrative tasks using the clinical records system accurately and efficiently.
Applicants must have the ability to prioritise work and be comfortable with multi-tasking, and have good IT skills, including knowledge of Microsoft Office packages. You will also need to be able to work unsupervised and display initiative, whilst working autonomously or as part of a team. You will be working within the 0-19 service and working in liaison with clinicians and other stakeholders.
Knowledge of SystmOne is desirable but not essential as training will be provided.

Main duties of the job
- Send emails in accordance with Hampshire and Isle of Wight Healthcare NHS Foundation Trust guidance for sharing patient identifiable data. Distributing emails to team members.
- Monitor generic email inbox and action / distribute as required.
- Use computer data bases and spreadsheets to record and report data and email for communications.
- Register all new referrals on to our Patient System (Systm1)
- To synchronise, update, scan, search and maintain Systm1 records according to the Standard Operating Procedure.
- Transferring in and out electronic records on Systm1 of clients moving in and out of the area.
- To attend meetings and working groups, take action from them and provide administrative support as appropriate
- Standards of work are maintained and Trust policies are adhered to.
- Other records are maintained ensuring compliance with the agreed record keeping systems of the Trust.
- To plan and prioritise work, monitoring to ensure deadlines are met.
- Other duties as necessary appropriate to the post and to meet the changing needs of Hampshire and Isle of Wight Healthcare Foundation Trust.
